Automate rent review notifications to tenants ahead of time
Save time and ensure rent reviews are done ahead of time with our new automated rent review email notifications for tenants capability. This feature is currently undergoing Beta testing and is scheduled for release to all users in early 2024. If you'd, however, like an early preview and are keen to share your thoughts on how it works, please contact rudi.lategan@re-leased.com to request access to the beta group.

Trust/Client Accounting main area
The Trust/Client Accounting main area will soon have a new look and feel. Some Re-Leased APAC region Trust/Client Accounting customers already have access to the updated page, while the remaining customers will receive access to the new page in early 2024. The updates made to the page layout not only increase the speed the page now loads but also allow you to surface more vital information at a glance.

Activity feed now supports internal-only commenting
Previously, all comments submitted through the commenting field in the maintenance task activity feed were visible to tenants in the Tenant App by default. Now, you have the option to decide whether to post external (tenant) comments or restrict them to internal only. This way you can safely leave notes, comments and clarifying instructions for your team to access without those details being publicly accessible to tenants.

View accepted quote requests with attachments
We have addressed a common customer pain point where maintenance quote request attachments and details became inaccessible and difficult to refer to once the quote request was accepted, making it challenging for users to refer back to. To resolve this, we've introduced a View Details button on the quote request area. This allows customers to view the submitted quote along with any associated attachments.

Better work order management
When initially creating a maintenance task, you might have a contractor in mind to associate with the task. However, you might find out that the contractor is not available to do the job when you need them to, or someone else comes back to you with better rates. Or perhaps the nature of the work changes and you need another contractor with different expertise to complete the job on time and within budget.

We get that, and this is why you can create and link an unlimited number of work orders to various contractors for your maintenance tasks and jobs. Whenever you assign a work order to a contractor other than the one originally or previously associated with the task, you will see a notification on your screen. This notification provides you with the option to either update and save the new contractor details, or simply keep the existing contractor information with a click of a button.

Task status report
You now have the ability to generate a maintenance report based on the actions taken for each task. Additionally, you can utilize the maintenance task statuses to quickly identify tasks associated with quote requests, pending approvals, and sent work orders. This enables you to monitor progress effectively and facilitates timely discussions with your contractor/supplier regarding the expected completion of the work.

Tenancy Schedule/Rent Roll now displays summary metrics which you can now turn on or off. Filter and rearrange metrics using the dragging tool. You will soon also be able to find summary metrics in the pdf summary metric download.

December Product Update

This month, we’ve launched several significant new features and existing product improvements. We've introduced maintenance task statuses for more granular task tracking, along with significant improvements to the task activity feed. This feed now automatically logs every step taken towards completing a task. Additionally, we've streamlined task and tenancy management for greater ease of use. In the Report Builder, we've enhanced the Tenancy Schedule report to provide more at-a-glance information with Summary Metrics, and in Insights, the Tenancy Events report has been improved with new default columns. And finally, for our Australian Re-Leased Pay customers, we've enhanced the control over online rent payment processing fees, allowing them to better manage the processing fee split between themselves and the tenant.  ✨ PROPERTY MANAGEMENT✨ 

New feature
Task statuses 

When managing a myriad of maintenance tasks, keeping on top of your critical and upcoming activities is key. Thanks to our recent task status improvements, any size organisation will now have the ability to manage their maintenance tasks at a more granular level and provide clarity without having to click into each individual task for a progress update.

You can also say goodbye to scrolling through a long list of tasks to find what you are looking for – now you can simply navigate to a property or tenancy task area to review all created maintenance tasks and use available status filters to group and sort these based on your requirements. We have also made finding overdue tasks, along with their original due dates, easy. They are now clearly highlighted in a separate column against each task, allowing you to identify activities that require the most attention.

Activity feed for real-time monitoring

From the maintenance task creation to the last invoice paid, you can now track and get more clarity into every single step made towards completing the maintenance or repairs workflow in the task activity feed.

Imagine you or someone else in your property maintenance team need to find out which contractors were contacted for a quote request for a maintenance job, or perhaps your team has been working on complex maintenance and needs to find out how many work orders have already been created since the beginning of the task. Or maybe you are covering another team member while they are on holiday and need to find out the last time their tenant was updated about the maintenance progress via the Tenant app and what was said. All this information and more is now available via the activity feed on the task details page.

The activity feed logs all changes made to a task automatically, providing property management, auditing and compliance teams a real-time summary of actions and activities that have occurred since the start of the work. Each activity type is marked with its own unique symbol which will make the task of finding certain types of activities easier, and thanks to dynamic document linking, users can also click the name of the document to view it.  

In the near future, you will also be able to leave internal-only comments and instructions to other team members via the commenting field, as well as download the full activity feed history for compliance and auditing purposes.

Keep everything consistent

Another useful update for managing tasks is the ability to edit a task title and other task details at any stage of the workflow. To keep work organized and maintain consistent naming conventions, we have also included the option to change document and image titles, as well as the ability to download all these documents with a simple click of a button.

Responding to tenants’ maintenance requests 

Addressing maintenance issues promptly can prevent them from escalating and causing more extensive damage. Property managers now have the capability to respond to incoming maintenance requests and view uploaded images directly from the maintenance job area, in addition to accepting or rejecting tenant requests through the Maintenance Hub area.

✨ RE-LEASED PAY✨

New feature
Remove online rent payment friction

Our Australian Re-Leased Pay customers will also now have more choices in handling Re-Leased Pay online payment processing fees. While previously these fees were entirely passed on to tenants, you can now decide to either fully absorb them or distribute the costs between yourself and the tenant.

More clarity in rent tracking

Users can now choose to display an effective date paid to date alongside the standard date paid to date. The effective date paid to date looks at any partial payments and calculates the closest full day tenants are paid up to, even if it falls within a rent period. Read more in the Knowledge Base.

Summary Metrics in Tenancy Schedule
You can now access high-level summary metrics in the Tenancy Schedule through the Report Builder. The summary metrics provide a quick overview of your most important information, allowing you to grasp key points at a glance. Re-Leased Insights users with access to Operational Dashboards will now be able to benefit from the recent enhancements made to the Tenancy Management Dashboard. Two new default columns have been added in the Tenancy Events drill down report; ‘Days to Event Occurrence’ which now replaces the previous ‘Days to lease Expiry’ metric, and the recently introduced ‘Potential Growth’ metric which compares the Annual Rent with Market Rent, offering a comprehensive view of potential growth.

Delegated Maintenance Users

When a maintenance task is initiated for a property, it is automatically assigned to the Property Manager. However, often the reality is that the execution of this task is typically done by a Facilities Manager or another maintenance team member. 

To help users handle this process better, we have introduced the option to designate a 'Delegated Maintenance User' for each property in the Property Details area. Once a delegated maintenance user is selected, all newly created tasks will be automatically delegated to them. 

This way, the right person stays in the loop and the Property Manager still gets updates as things move along.

Effective Date Paid To for tenancies

Users can choose to display an effective date paid to, which is displayed in addition to our regular date paid to. The effective date paid to looks at any part payments and uses those to work out the closest full day that the tenant is paid up to, even if it's part way through a rent period.

The feature is out of beta and live for all customers to try. It just needs to be turned on under their company settings.

Improvements On The Tenancy Management Dashboard

Live Today! 

Insights customers will now benefit from the following updates made to the Insights Tenancy Management Dashboard:

1. More contextual data is now available when drilling into Tenancy Events. The tabular data now shows "Days to Event Occurrence" replacing a previous metric of "Days to Lease Expiry" which was only applicable to lease expiry events.

2. We've introduced a new column named Potential Growth which indicates the potential rent increases by comparing the annual rent with the market rent. To make the table easier to read and keep all rent-related figures together, we've moved the annual rent and market rent columns to a new default position.

New and Updated Dashboards on Re-Leased Insights

We've recently made exciting updates to Insights. Customers that have access to the Strategic suite of dashboards will now have a new Portfolio Performance dashboard. This dashboard is centered around appreciating the value of your portfolio. It analyses expenditure, income and resulting yield to help them keep track of their investment strategies.

In addition, we have also made updates to the Yield and Valuation dashboard. With these improvements, this dashboard now gives you a better indication of your portfolio's strategic health by displaying your total potential rental income. This is calculated by adding the possible rent from vacant units to the expected increases from occupied ones.

Property Managers now have the ability to simplify their expense tracking and management process for specific tasks. This can be done by linking existing contractor invoices or creating new ones straight from the task details page.

Soon, we’ll also be introducing the capability to link multiple tasks directly from the invoice itself, as well as the ability to see which tasks have already been associated with which invoices.

Streamline your rent review process with confidence
Property Managers can now speed up the process of creating and performing rent reviews by pre-defining which rent review forms and agreements, communications methods, and email templates should be used as part of the review process. You can also preview and adjust the correspondence and attached information for each of your tenants before sending those emails out.

Save time and effort with tenant notifications
Instead of drafting individual rent review emails for each tenant, you can now reduce your workload by using our new Rent Review Tenant Notification template (or a customized version of it). We have also made it possible for you to email tenants directly from the dashboard rent review reminder, which saves you from having to navigate to other parts of the platform.

In the near future, you will also be able to reduce the risk of missing a key rent review date by having the ability to set up automated tenant reminders as part of a new rent review set-up process.

Rent Review Correspondence Enhancements

We have made some exciting improvements to how Forms and Agreements and Email Correspondence are added to Rent Reviews and also how they are previewed. By introducing these steps into the workflow of creating and performing a Rent Review, we aim to save you time having to manage these activities elsewhere.

Previewing Forms and Agreements and Email Correspondence after performing a Rent Review:

We have updated the screen you land on after you have performed a Rent Review. To give you the ability to easily preview generated Rent Review correspondence before sending it to your tenants.

  1. Forms and Agreement Title  - Selecting this also opens the Form in the documents section of the Tenancy 
  2. Ability to Download the Forms and Agreement document in PDF
  3. Email Correspondence Title - Selecting this also opens an editable version in Settings.
  4. Edit the Email Correspondence during the Rent Review before sending it to your Tenant
  5. Preview and Download the Email Correspondence as a PDF
  6. Hit "Send email" to ship ALL the correspondence straight to your Tenant once you are happy with it!

The easy-to-understand visualization helps you to easily identify gaps in your property, tenancy, and area information, and make quick improvements by simply drilling into the highlighted gap areas directly from the dashboard itself.

improvements More flexibility to calculate rent review adjustments
Different lease agreements may have varying terms for rent adjustments - some leases may specify annual reviews, while others may require monthly adjustments. You now have the flexibility to choose between a monthly and annual rent adjustment calculation method, which can be particularly useful when your tenant's rent review date does not align with their current payment cycle. This update will also allow a wider range of customers to take full advantage of the Bulk Rent Review functionality.

improvements Allocate rent review increases on multiple line items with a click of a button
Previously during a rent review, the new rent increase amount was only applied to the first line item in the new rent template. What this process failed to do was to perform the increase calculations across all other important line items below the first row, such as car parking or common area maintenance, for instance.

With the new rent review enhancements, you can now choose which line items should receive the increase for the next rent review. By ticking ‘Allocate to all’ box you can quickly apply increases across all appropriate line items in the template.

All Trust/Client Accounting customers can now generate all draft owner statements in a single PDF. This is particularly useful for customers who like to have their property managers review the owner statements before proceeding to disbursement.
