✨ PROPERTY MAINTENANCE✨

Introducing custom tags and simplified statuses
Users have the power to create and associate multiple custom tags to their maintenance tasks. This capability allows you to tailor your tags according to your business processes and categorise and prioritise tasks in a way that best suits your workflow – whether it’s by location, maintenance lifecycle stage, priority level or any other criteria.

In addition to custom tags, we've also simplified the categorisation of task statuses. They are now grouped into three distinct states: incomplete, complete, and cancelled.

 

Another useful Maintenance Hub update is a functionality called sticky filters. Sticky filters ensure that your filter selections, and soon sorting order too, are remembered by the system, even if you navigate to other areas and then return to the Maintenance Hub. Once set, your chosen filters will still be in place! Pretty handy, right?

Sticky filters are also going to be useful if you prefer to view tasks in your Maintenance Hub differently from how the default filters present the information. With sticky filters, you can save your customised Maintenance Hub view without having to adjust the filters every time.

Download a Tenancy Schedule/Rent Roll report into a flat format file in Excel or PDF
You can now download a Tenancy Schedule/Rent Roll Report into a flattened file in Excel for further analysis, data manipulation and reporting purposes. Large flattened files, in contrary to nested files, take less time to download and allow you to perform common data operations more easily including the basic functions of sorting, filtering, and applying formulas without the hassle of needing to navigate through more complex nested structures.

To get started, simply click to Display settings > tick Flatten into single list box > Apply settings and run >download as Excel or PDF.


✨ ACCOUNTING INTEGRATIONS✨

Streamlined invoice processing for QBO and Sage Intacct Users
QBO and Sage Intacct customers no longer need to go through the hassle of manually splitting multi-property invoices into separate invoices to ensure proper budget flow. The system now handles line items tracking to multiple properties in the same invoice, and ensures all expenditure is automatically recorded against the correct budget items. This capability will be extended to Xero accounting users in the near future. To learn more please check out the KB article here

Sage Intacct: Real-time syncing
Sage Intacct customers will no longer experience delays waiting for scheduled overnight syncs, thanks to the introduction of on-change syncing capability. Now, whenever an invoice is created or edited in Re-Leased, changes are instantly synced with Sage Intacct, ensuring immediate reflection of updates.

Re-Leased Customer Love Sprint: The Valentine’s Day edition

This year, February seemed like the perfect time for embarking on yet another Customer Love journey. With Valentine’s Day in mind, we set the launch date to the 14th and started working towards a blooming good Customer Love Sprint product release as a way to show our appreciation and gratitude to you for your ongoing support.

As the month progressed, our product and engineering teams immersed themselves again into a two-week sprint, solely focusing on the new Customer Love Sprint work (a sprint refers to a short, usually two-week time period during which teams work on a set of predefined tasks and objectives) without other distractions.

Blooming good features

To learn more about the 2024 Customer Love Sprint Valentine’s Day enhancements, our Product Managers have created short demo videos and product description summaries for you below. Each video will showcase some of the key improvements they worked on, ranging from feature refinements to visual enhancements. 


💚  PROPERTY MANAGEMENT💚  

Maintenance Hub improvements

  • Task status order have been revised, prioritizing the display of the most urgent or imminent tasks at the top of the list automatically.
  • The overdue status has been integrated into the Due Date feature, enhancing the ease of selection between dates.
  • Additional filters have been introduced, enabling users to filter tasks by property or tenancy with greater specificity.

Maintenance task updates

  • Introducing time-tracking capability to maintenance tasks!
  • Image files can now be previewed as thumbnails eliminating the need to download the files to view them

Managing work orders

  • Select your preferred default work order template for all new work orders
  • The key reference field is now available as a merge field in these templates

Property details enhancements

  • Keys with a key reference can now be easily searched directly using the search field situated in the properties area. The Property Key Status Report also now features a clickable reference field, allowing for direct navigation to the respective key pages.
  • In the tenancies section, you can now access archived tenancies through a new 'Archived' tab
  • If you are reinstating an archived tenancy, the system now gives you a warning if your utility meter rating exceeds 100% allocation. The same warming screen also now gives you options for the next steps. 
  • The areas section now allows you to store EPC rating information at an area level
  • The insurance section is now much more user-friendly with sortable column headings and new columns, including start date, renew date, and cover.
  • The documents section now supports adding and viewing Exported Email Files (.EMLX) email files and .zip files 

Other property management improvements

  • Dashboard tiles now have titles, including Arrears, Late Fees, Maintenance and more

💚  TENANCY/LEASE MANAGEMENT 💚  

Late fee improvements 

  • You can now use the bank rate instead of the annual rate when creating late fee rules
  • Add future tenants to late fee rules as part of completing the new tenancy workflow

Budget improvements

  • Unlock budget balancing charges reconciliation step  
  • Budget expense report “Show accounts not in the budget” 

Rent forms and agreements improvements

  • A new Current Rent Frequence merge field is now available in rent templates

💚  PROPERTY REPORTING 💚  

Introducing the Favourite Reports feature! Keep frequently used reports easily accessible by bookmarking them for quick retrieval anytime.

Tenancy Schedule/Rent Roll enhancements

  • You can now filter for more than one company at the same time
  • Customize your Tenancy Schedule/Rent Roll report to display only essential information by hiding area rows
  • Area size value and units are now separated for easier data manipulation when the report is exported as an Excel file
  • New data totals

Other property reporting enhancements

  • Security Deposit Balance is now available in the Summary Metrics section of the Tenancy Schedule/Rent Roll
  • Archived tenancies and contacts can be added in the Tenant List report
  • GST/VAT/Tax registered contacts are now available in a new column when you export your Contacts List
  • Property Fee Rules upgrades
  • Tenancy Summary's notes section won't break large amounts of notes into separate pages anymore

💚  RE-LEASED PAY AND COMMUNICATIONS 💚 

Re-Leased Payment hub improvements

  • Alongside the new Re-Leased Pay Payment Hub page upgrade, we've also introduced two new invoice and payment statuses – a payment failed exclamation mark, and a reverse $ sign for reversed payment for the invoice, next to the Invoice number on the online payment and payout tabs. Together these improvements help users to view, manage and take quicker action on their online payment items from one centralised place.
  • You'll also see that payment methods now have specific icons. The icons have replaced the old payment method column reducing clutter and allowing more focus on important payment information.

Recurring payments

  • In addition to seeing which tenancies are set up for recurring payments, you will now also be able to see which contacts from those tenancies have enabled recurring payments on the tenancy summary screen. This will be useful when you have multiple contacts associated with a tenancy and need to find out who to contact if payments are not going through.

💚  CONNECTED TRUST/CLIENT ACCOUNTING AND INVOICING 💚 

  • New bank statements page – filter by reconciliation status and sort by dates
  • Default tax exclusive/inclusive setting for expense invoices
  • Easier to apply tenancy funds to invoices
  • View archived rent templates
  • 4 decimal places on unit prices (excludes connected accounting customers)
  • More accurate income invoices for non-VAT selected properties

Improved user experience in the sync results area

  • Now a full-width page, meaning no information gets cut off and there's no need for horizontal scrolling
  • Companies dropdown list is now in alphabetical order
  • Default rows per page selection now lets you choose from 25, 50, 100 or all

Other accounting integration enhancements

  • Managing your connected accounting integrations is now simpler, as all relevant information relating to your connection can be conveniently accessed and managed directly from a pop-up screen, which eliminates the need to navigate away from the Integrations & Add-ons area.

Powerful new Maintenance Hub filters
Keeping on top of your property maintenance does not have to feel overwhelming. With our new powerful Maintenance Hub filters, you and your team can create bespoke filters and maintenance to-do lists to better understand and manage your property maintenance at scale.  

Unlike before, you can easily now find answers to questions like; Which maintenance tasks are awaiting invoicing? Which tasks have a work order attached but haven't been invoiced yet? Which tasks have a sent quote or responses received? Which tasks are missing a quote or work order? Our dynamic filters give you answers to these queries and more with a click of a button, making maintenance management a breeze.

✨ RENT REVIEWS✨

New feature
Automated Tenant Rent Review Notifications
We're excited to announce that an automated tenant rent review notification feature is now available to all Re-Leased users. Automated tenant notifications are a convenient way to keep your tenants informed about upcoming rent review dates without needing to rely on calendars and to-do lists to remind you to manually draft and send emails for each review. All you need to do is choose an email template or create a new one, specify how far in advance the tenant notification should be sent, and Re-Leased will do the rest. New feature
Get flexible with customized rent review reminders 
Property Managers, you'll no longer be bound by default advanced notification settings for your rent review reminders. With our most recent rent review improvements, you can now set up fully customized dashboard reminders for each upcoming rent review. It's a game-changer from the current notification functionality which applies an identical reminder timeframe to all rent reviews.

To customize the timing of the reminders, simply create a new one or edit an existing rent review, scroll down to the ‘custom reminder’ section and add a custom timeframe which better suits your preferences. Once set up, this reminder will override your existing advanced notice for that rent review. Other new rent review improvements that provide you with relevant information and make sure rent changes are clear and easily trackable:

  • When setting up a new Rent Review, you will now find a summary of the current rent details and a handy link to the rent template which means you can say goodbye to flipping back and forth between the screens!
  • We have also added a New Annual Rent amount field on the rent review page to help capture the new rent not just when creating a tenancy but also for existing tenants. This provides additional visibility on the new rent amount at a glance.
  • You will also find a brand-new column in the Rent Reviews area which displays the New Annual Rent amount.


✨ EMAIL COMMUNICATIONS✨

CC and BCC teammates to emails from Re-Leased with no extra work
Gone are the days when you had to create other property managers and team members as new contacts in Re-Leased before being able to cc: and bcc: them in important emails. Thanks to our latest email update, there's no longer a need for this extra step. Now, you can easily cc: and bcc: relevant staff in emails by typing their names directly into the recipient fields.

✨ RE-LEASED MOBILE APPS✨

Delegated users now receive tenant notifications
In response to requests from some of our users, we have implemented functionality to support the Re-Leased mobile apps’ notifications for both property managers and delegated users. Previously, only property managers received notifications when a tenant submitted a maintenance request or added a comment to a maintenance task via the Tenant App. Now, both property managers and delegated users, like Facilities Managers, will receive email and push notifications from the tenant, ensuring everyone stays informed more efficiently.

Android APP upgrades
All Android applications in the Re-Leased marketplace app suite have been upgraded to provide full support for Android 13 and above, while also being compatible with API level 33 and higher. This update enables users with the latest Android devices to download and use Re-Leased apps without any restrictions. Furthermore, the Re-Leased mobile apps now offer improved accessibility by supporting WiFi-only devices, providing enhanced access and flexibility for devices that do not have SIM cards.

Customise your Tenancy Summary Report
The Tenancy Summary Report can now be customized even further as you are now able to toggle sections of your report on and off. This will be particularly useful whenever you need to report for a specific audience or stakeholder.

Are you tired of trying to drag columns from the bottom of the list to the top while scrolling at the same time? Wished the columns were arranged by category? Are you confused about whether your report has been updated when you exit the sidebar? Well, you will be excited about the new 2-step column management experience in the Tenancy Schedule/Rent Roll! We have separated arranging your columns (no more dragging across a hundred columns) and selecting your columns to keep the experience a lot more consistent.

Change your Re-Leased starting page
Have you noticed that you can now change your starting page upon logging into Re-Leased? Right now, your default starting page is set to the calendar dashboard, but if you find yourself frequently starting in the Income and Expenses or Properties sections, why not set it as your new default starting page?

Simply navigate to My Account and select your preferred home page from one of the drop-down options under Homepage. Save your user preferences. You can then shortcut to your new preferred home page from the Re-Leased logo and quickly access data and functionality that’s the most important to you.

Save time and ensure rent reviews are done ahead of time with our new automated rent review email notifications for tenants capability. This feature is currently undergoing Beta testing and is scheduled for release to all users in early 2024. The Trust/Client Accounting main area will soon have a new look and feel. Some Re-Leased APAC region Trust/Client Accounting customers already have access to the updated page, while the remaining customers will receive access to the new page in early 2024. The updates made to the page layout not only increase the speed the page now loads but also allow you to surface more vital information at a glance.

Activity feed now supports internal-only commenting
Previously, all comments submitted through the commenting field in the maintenance task activity feed were visible to tenants in the Tenant App by default. Now, you have the option to decide whether to post external (tenant) comments or restrict them to internal only. This way you can safely leave notes, comments and clarifying instructions for your team to access without those details being publicly accessible to tenants.

View accepted quote requests with attachments
We have addressed a common customer pain point where maintenance quote request attachments and details became inaccessible and difficult to refer to once the quote request was accepted, making it challenging for users to refer back to. To resolve this, we've introduced a View Details button on the quote request area. This allows customers to view the submitted quote along with any associated attachments.

Better work order management
When initially creating a maintenance task, you might have a contractor in mind to associate with the task. However, you might find out that the contractor is not available to do the job when you need them to, or someone else comes back to you with better rates. Or perhaps the nature of the work changes and you need another contractor with different expertise to complete the job on time and within budget.

We get that, and this is why you can create and link an unlimited number of work orders to various contractors for your maintenance tasks and jobs. Whenever you assign a work order to a contractor other than the one originally or previously associated with the task, you will see a notification on your screen. This notification provides you with the option to either update and save the new contractor details, or simply keep the existing contractor information with a click of a button.

Task status report
You now have the ability to generate a maintenance report based on the actions taken for each task. Additionally, you can utilize the maintenance task statuses to quickly identify tasks associated with quote requests, pending approvals, and sent work orders. This enables you to monitor progress effectively and facilitates timely discussions with your contractor/supplier regarding the expected completion of the work. 

✨ REPORT BUILDER✨

Tenancy Schedule/Rent Roll now displays summary metrics which you can now turn on or off. Filter and rearrange metrics using the dragging tool. You will soon also be able to find summary metrics in the pdf summary metric download.

December Product Update

This month, we’ve launched several significant new features and existing product improvements. We've introduced maintenance task statuses for more granular task tracking, along with significant improvements to the task activity feed. This feed now automatically logs every step taken towards completing a task. Additionally, we've streamlined task and tenancy management for greater ease of use. In the Report Builder, we've enhanced the Tenancy Schedule report to provide more at-a-glance information with Summary Metrics, and in Insights, the Tenancy Events report has been improved with new default columns. And finally, for our Australian Re-Leased Pay customers, we've enhanced the control over online rent payment processing fees, allowing them to better manage the processing fee split between themselves and the tenant. Task statuses 

When managing a myriad of maintenance tasks, keeping on top of your critical and upcoming activities is key. Thanks to our recent task status improvements, any size organisation will now have the ability to manage their maintenance tasks at a more granular level and provide clarity without having to click into each individual task for a progress update.

You can also say goodbye to scrolling through a long list of tasks to find what you are looking for – now you can simply navigate to a property or tenancy task area to review all created maintenance tasks and use available status filters to group and sort these based on your requirements. We have also made finding overdue tasks, along with their original due dates, easy. They are now clearly highlighted in a separate column against each task, allowing you to identify activities that require the most attention.

Activity feed for real-time monitoring

From the maintenance task creation to the last invoice paid, you can now track and get more clarity into every single step made towards completing the maintenance or repairs workflow in the task activity feed.

Imagine you or someone else in your property maintenance team need to find out which contractors were contacted for a quote request for a maintenance job, or perhaps your team has been working on complex maintenance and needs to find out how many work orders have already been created since the beginning of the task. Or maybe you are covering another team member while they are on holiday and need to find out the last time their tenant was updated about the maintenance progress via the Tenant app and what was said. All this information and more is now available via the activity feed on the task details page.

The activity feed logs all changes made to a task automatically, providing property management, auditing and compliance teams a real-time summary of actions and activities that have occurred since the start of the work. Each activity type is marked with its own unique symbol which will make the task of finding certain types of activities easier, and thanks to dynamic document linking, users can also click the name of the document to view it.  

In the near future, you will also be able to leave internal-only comments and instructions to other team members via the commenting field, as well as download the full activity feed history for compliance and auditing purposes.

Keep everything consistent

Another useful update for managing tasks is the ability to edit a task title and other task details at any stage of the workflow. To keep work organized and maintain consistent naming conventions, we have also included the option to change document and image titles, as well as the ability to download all these documents with a simple click of a button.

Responding to tenants’ maintenance requests 

Addressing maintenance issues promptly can prevent them from escalating and causing more extensive damage. Property managers now have the capability to respond to incoming maintenance requests and view uploaded images directly from the maintenance job area, in addition to accepting or rejecting tenant requests through the Maintenance Hub area.

✨ RE-LEASED PAY✨

New feature
Remove online rent payment friction

Our Australian Re-Leased Pay customers will also now have more choices in handling Re-Leased Pay online payment processing fees. While previously these fees were entirely passed on to tenants, you can now decide to either fully absorb them or distribute the costs between yourself and the tenant.

More clarity in rent tracking

Users can now choose to display an effective date paid to date alongside the standard date paid to date. The effective date paid to date looks at any partial payments and calculates the closest full day tenants are paid up to, even if it falls within a rent period. Read more in the Knowledge Base.

Summary Metrics in Tenancy Schedule
You can now access high-level summary metrics in the Tenancy Schedule through the Report Builder. The summary metrics provide a quick overview of your most important information, allowing you to grasp key points at a glance. Re-Leased Insights users with access to Operational Dashboards will now be able to benefit from the recent enhancements made to the Tenancy Management Dashboard. Two new default columns have been added in the Tenancy Events drill down report; ‘Days to Event Occurrence’ which now replaces the previous ‘Days to lease Expiry’ metric, and the recently introduced ‘Potential Growth’ metric which compares the Annual Rent with Market Rent, offering a comprehensive view of potential growth.

Delegated Maintenance Users

When a maintenance task is initiated for a property, it is automatically assigned to the Property Manager. However, often the reality is that the execution of this task is typically done by a Facilities Manager or another maintenance team member. 

To help users handle this process better, we have introduced the option to designate a 'Delegated Maintenance User' for each property in the Property Details area. Once a delegated maintenance user is selected, all newly created tasks will be automatically delegated to them. 

This way, the right person stays in the loop and the Property Manager still gets updates as things move along.

Effective Date Paid To for tenancies

Users can choose to display an effective date paid to, which is displayed in addition to our regular date paid to. The effective date paid to looks at any part payments and uses those to work out the closest full day that the tenant is paid up to, even if it's part way through a rent period.

The feature is out of beta and live for all customers to try. It just needs to be turned on under their company settings.

Improvements On The Tenancy Management Dashboard

Live Today! 

Insights customers will now benefit from the following updates made to the Insights Tenancy Management Dashboard:

1. More contextual data is now available when drilling into Tenancy Events. The tabular data now shows "Days to Event Occurrence" replacing a previous metric of "Days to Lease Expiry" which was only applicable to lease expiry events.

2. We've introduced a new column named Potential Growth which indicates the potential rent increases by comparing the annual rent with the market rent. To make the table easier to read and keep all rent-related figures together, we've moved the annual rent and market rent columns to a new default position.

Introducing the new Trust/Client Accounting Main Area ✨

We’re excited to roll out a brand new look and feel to the Trust/Client Accounting area for our trust/client accounting customers in the coming weeks. The updates made to the page layout have been made to primarily increase the speed. The improvements will also surface more vital information at a glance.   

Enhanced page performance with a new look and feel

This update gives the Trust/Client Accounting area a more modern, cleaner look and feel. Rest assured that the functionality you’re used to isn’t changing or going anywhere - in fact, we've made it even easier to access all the great features you’re already using. 

The navigation is streamlined, key features are surfaced, and responding to outstanding tasks is easier than ever. Plus, a handy multi-account switch now displays the reconciliation status of each account at a glance, allowing you to spend more time on the things that are important to you.

New and Updated Dashboards on Re-Leased Insights

We've recently made exciting updates to Insights. Customers that have access to the Strategic suite of dashboards will now have a new Portfolio Performance dashboard. This dashboard is centered around appreciating the value of your portfolio. It analyses expenditure, income and resulting yield to help them keep track of their investment strategies.

In addition, we have also made updates to the Yield and Valuation dashboard. With these improvements, this dashboard now gives you a better indication of your portfolio's strategic health by displaying your total potential rental income. This is calculated by adding the possible rent from vacant units to the expected increases from occupied ones.
