Hi there and welcome to our June product update, where we bring you exciting new features and improvements to streamline your property management processes. this month, we are thrilled to highlight key features and enhancements from rent collection, maintenance, and reporting. Let's dive in!
 

✨  RE-LEASED PAY ✨ 
STREAMLINE YOUR RENT COLLECTION PROCESS 


New feature announcements 

We are excited to announce a new feature that will help streamline your rent collection process and significantly improve your payment management experience. With our latest Re-Leased Pay update, you can now set up recurring rent payments for your tenants, saving you time and reducing arrears. 

Say goodbye to chasing payments and hello to hassle-free financial management these three simple steps.

1. Simplify Rent Payment Tracking
Our system allows you to identify tenants who have already set up recurring rent payments easily. By checking the Re-Leased Pay Status on the Tenant Summary page, you can determine whether tenants are enrolled in recurring payments or not. This eliminates the need for manual tracking and provides you with a clear overview of payment statuses.

 
2. Prompt Tenants to Enroll in Recurring Payments
With just a few clicks, you can send an email to your tenants, encouraging them to set up recurring payments. Using our Re-Leased Pay Invitation Template, you can effortlessly notify multiple tenants about the benefits and guide them through the process. Simply include the link provided as part of the email template, and tenants will be directed to a page where they can securely save their payment details.


3. Enjoy Automated Payment Collection
Once tenants have completed the setup, their payments will be automatically processed for all future rent invoices. Our system securely stores their payment information, ensuring a smooth and efficient payment experience. You no longer need to spend valuable time manually collecting payments or dealing with late payments.


✨  PROPERTY MAINTENANCE ✨

Earlier this month we announced a number of new improvements to our Maintenance functionality. 

These include:

  • Managing recurring tasks more efficiently with the ability to add notes, quote requests, and work orders directly at the task level
  • The Maintenance Report now includes new columns such as Task Notes and related Work Orders

Join a Beta testing group!

We're currently recruiting customers for a closed beta group for Effective Paid to Dates. 

The effective paid to date feature takes into account all the rent payments made by the tenant, including full and partial payments, and calculates the date until which they are considered effective or up to date, helping property managers to more accurately manage cash flow, assess tenant performance, and enforce lease terms and conditions.

✨  REPORT BUILDER ✨

Reporting now available for the Property Energy Performance Certificate (EPC) rates

With the increasing demand for energy-efficient buildings and new government-imposed green regulations, knowing your properties’ energy performance certificate (EPC) rates has become increasingly valuable to know.

Back in March, we introduce the property EPC rate field capability in the property area, and now, we have made reporting this field possible in the Re-Leased Report Builder.

To create a property EPC rate report, simply navigate to the Report Builder > Create a new Tenancy Schedule > Include property EPC rate field and other relevant information you wish to report on and generate your report.

Performance improvements with faster load times

We are also delighted to announce that Report Builder is now up to 20% faster in generating reports. This improvement will particularly benefit users with greater data processing requirements, as you can now expect faster loading times and a seamless experience while accessing your reports.


✨  RE-LEASED INSIGHTS ✨

Share Insights with internal and external stakeholders

Re-Leased Pro and Enterprise customers can now share and schedule Insights dashboards and tile visualisations with their key internal and external stakeholders.

With the Insights scheduled delivery functionality, you can easily set up scheduled email deliveries within Re-Leased. Just filter your data based on your requirements and automate the delivery cadence. This allows you to effortlessly share important business information with your colleagues, executive management, and non-Re-Leased/Insights users in just a few clicks.

Improved accuracy in Insights metrics

When dealing with large monetary figures, having only one decimal point of precision can lead to significant rounding errors. Hence, all monetary-related metrics within the Operational and Strategic dashboard suites are now displayed at least two decimal points.

The two decimal point modification also applies to Fee percentages. 


✨  CLIENT/TRUST ACCOUNTING ✨

Email financial summary and financial details reports without timing out

Users now have the option to email the financial summary or financial details report to themselves or their owners via a background process. Now, no matter how many owners you run the report for, it will not time out in the browser as it may have previously done at the End of Financial Year.


Please note, if more than 30 owners are selected, the Generate Report on Screen and Download buttons will be disabled. To generate larger reports for more than 30 owners, you are required to opt for the Email report option.


✨ INCOME AND EXPENSES ✨

Easing editing restrictions on invoices that have appeared on 
an owner statement

Editing restrictions to invoices and credit notes that had appeared on owner statements were introduced last month but they were too restrictive. We will now allow the reference and description fields to be edited after appearing on an owner statement.

Bulk email receipts

Say goodbye to downloading receipts one by one and manually emailing them to your tenancy contacts. With our bulk email receipts functionality, you can now select multiple receipts and email them directly from Re-Leased to the respective tenancy account contacts.

Even if the receipt is not associated with a tenancy, you can still email it to the contact who made the payment.

Improvements to Maintenance! 💪

Hello everyone!

Today, we’re excited to announce some new improvements to our Maintenance functionality. We understand how important it is to have efficient maintenance operations, and we’ve been hard at work to make sure your maintenance tasks and reporting are the best they can be.

First, we’ve improved the way you manage Tasks, especially for recurring Maintenance. You can now add Notes, Quote Requests, and Work Orders directly at the Task level, making it easier to find related information and updates all in one place. The details can be added at the Task level without needing to Complete the task first. 

Secondly, we’ve also updated our Maintenance Report, adding a bunch of new columns that you can choose to add if needed. These new columns include key data points like Task Notes and related Work Orders.

We're also continuing to work away on further improvements in Maintenance, including a brand new interface for managing Tasks, so we can provide the ability to directly link Expense Invoices to Maintenance, and generating an activity log of all changes to easily see what's happening at the Task level. So keep your eyes out for further improvements coming soon!

Our latest Customer Love Sprint

At Re-Leased, we're committed to delivering continuous value to you, our customers. That's why our amazing Product and Engineering teams have, once again, taken up the Customer Love Sprint challenge, and invested one product sprint solely in making refinements to existing features, tackling customer requests and making sure the platform looks polished and tidy.  

This time around, we worked on 70 new improvements, which you will learn more about below, as well as in the Customer Love Sprint blog post. 


💚 PROPERTY MANAGEMENT 💚 



As part of this Customer Love Sprint, the Property Management team has been working hard on reducing friction for customers and surfacing up more useful information in workflows. 

Tenant's Insurance now has bulk actions
💚 Perform bulk actions on your tenant's insurance policies in the Insurance Hub, including archiving and sending reminder emails. This eliminates the need for individual task execution, saving you time and effort!

New future rent merge fields in forms
💚 We have introduced two new merge fields in the Forms & Agreement templates: Future Net Rent and Future Gross Rent. These fields provide the rent amount (excluding outgoings lines and taxes) and the total rent amount (including outgoings lines and taxes) on the next rent template, respectively.

Send an email directly from Tenancy/Lease
💚 Users managing a tenancy can now directly email the related tenants directly through the Correspondence tab with the newly added Send email button.

Bulk download documents
💚 Bulk download functionality is now available on the Property > Documents and Tenancy > Documents pages. Click the Download All Files button to generate a Zip file of all documents in the current folder, or click the Download folder icon in the folders list to get a zip file of all documents sitting in that folder and in any subfolders below it in the folder hierarchy.

Area labels on utility meter allocations
💚 Utility Meters create/edit screen now displays the areas associated with each tenancy under the allocations.

Timestamp for market rent updates
💚 In the Property > Area section, users can now record the expected market rent and track its latest update. Additionally, a log of all historical updates is now stored for potential future access, starting from 2nd May 2023 on. Please note that only updates going forward will be recorded in the logs.

Improvements to the Property Keys list
💚 The Property Keys list has been given some love by adding in paging when there are more than 20 keys, there's a new filter for checked in vs checked out, and the search has been expanded. The search now includes the tenancy and the key holder.

💚 PROPERTY INTELLIGENCE 💚 


The focus of the Property Intelligence team was to enhance the Re-leased reporting suite by adding new features and capabilities that improve the way in which data is captured and reported on in Re-leased. Some of the key improvement highlights include:

Report Builder
💚 A wider selection of reporting fields is now available in the Report Builder, including the property anniversary date, rent type, arrears status, tenancy and property custom fields, annual market rent, owner details, tenant mobile numbers and more.

The Events Report
💚 The Events Report has been extended to report on final rent events which is available as a new event type to filter the report by, as well as a sub-report which provides further details on these instances.

💚 We’ve also added property addresses in Reminders Events sub-reports which will help you to identify the properties highlighted in the report without having to navigate between multiple pages to fill in the missing data.

Rent template
💚 We've also implemented two useful updates in Rent templates to support the Rent to Area allocations workflow:

  • When a rent template is created with only one occupied area, we will automatically allocate all rent to that single area.
  • If the rent template is created and the tenant occupies multiple areas, we will redirect you to the Rent to Area allocations page where you can now also manage rent allocations.

As part of our commitment to providing exceptional customer service and improving users’ experience, our work focused on making improvements and enhancements in several different areas across the Re-leased platform, such as communications, budgets and tenancies. Some of the key improvement highlights include:

Tenancy

💚 Tenancy cards can now be easily sorted on the Property Summary page
💚 Tenancy History can be now downloaded in CSV format directly within the Tenancy area
💚 Ability to create new arrears statuses from within the tenancy details tab
💚 The outgoings amount is now visible on the tenancy summary page as we as in the tenancy cards on the property summary page
💚 The 'Rent Covered' column on the Invoice and Credits list on a Tenancy has been expanded to include the outgoings period and been renamed to 'Period Covered'

Budgets

💚 Notes can be added against any line items during budget reconciliation
💚 The budget allocation report now has an optional report field for floor area size
💚 When creating a rent template at the budget approval stage, we now automatically duplicate the rent allocations from the existing template to the new template

Late Fees

💚 Users can now find and action important tasks, such as credit notes, overpayments and prepayment allocations with ease on the improved Late Fees Hub.
💚 Ability to create a custom Late Fee email template, to accompany Late Fee invoices.


💚 COMMUNICATIONS AND NOTES 💚 


💚 Improved visibility and ability to manage email duplication during the bulk email-sending process
💚 In the sending text message area, users can now filter contacts and select multiple recipients to send text messages to
💚 A total count of all notes saved against a Property and Tenancy is now also visible


💚 RE-LEASED PAY 💚 


We have introduced two new payment methods to Re-Leased Pay to expand the range of payment options and potentially increase convenience and accessibility while also attracting new business.

💚 Stripe Link - Enables tenants to have their payment and address details stored and auto-filled for a faster and more convenient checkout experience and an alternative to recurring payments

💚 Cash App - is a mobile payment service that enables users in the US and UK to transfer money to each other using a mobile app. Tenants can now use this as a payment method.

During this sprint, the Trust/Client Accounting team has been focusing their efforts on rent invoices, bank statements and suspense, as well as surfacing better information when a disbursement is in progress. Some of the key improvement highlights include:

💚 Invoice number is now displayed on the unpresented payments report
💚 Total balances are now shown on the outstanding suspense task page
💚 Completed suspense tasks page now has pagination
💚 Banner on trust account list is now showing which bank has a disbursement in progress
💚 Error page now shows which bank account has a disbursement in progress
💚 Deleted bank statements are now hidden by default
💚 Improved page navigation when viewing bank statements
💚 Rent templates now allow 1 cent invoices
💚 Ability to void a rent invoice and ignore it as rent in one step

April Product Update

Hey there,

It's time for our April Re-Leased Product Update, and we can't wait to share with you all the new features and product improvements we've been working on over the past month. It's a goodie this month.

Let’s get into the key updates!


✨PROPERTY MANAGEMENT✨

Review and manage users' access to companies

You can now easily see and manage to which companies users in your account have access to, as well as to those companies they can't access, and change this. Navigate to Settings > Users > Companies to access and edit the permissions.

Streamline editing Maintenance tasks  

You can now view, add more details or complete your outstanding maintenance tasks directly from the main Dashboard's Maintenance task pop-up screen. Click the maintenance task you want to edit > Edit Task > add notes, images or documents > Save.

 The same functionality is also accessible from Property > Tasks > Edit Task; and from the Maintenance Hub > Task details.

We will shortly also be adding other useful details to the Task details page - such as Budgeted Costs, Quote details and Work orders.


✨REPORT BUILDER✨

Include more data in your reports

You can now include property owner details, annual market rent and tenant phone numbers in your custom reports when using the Report Builder tool.

Trust Account List

Customers who manage multiple trust/client accounts now have a high-level view of all their bank accounts. From here you can search, sort and drill into details of their bank accounts from this new page.

Disbursement Correspondence is coming soon

The disbursement correspondence which is available after completing a disbursement has been visually refreshed along with some further improvements to make sending communications to owners and creditors easier.

Sending owner statements

There are now two options when emailing out owner statements:

  1. Separate email per owner
    The owner will receive a separate email for each of their owner statements/ledgers (this is the pre-existing behavior)
  2. Combined email per owner
    The owner will receive one email for all of their statements/ledgers and the statements are combined in a single PDF attached to the email.

Note: If an owner is set to use the combined residential owner statement, these options will make no difference to the current behavior.


✨INVOICING✨

Rent templates now allow values less than $1

Rent templates now allow values less than the previous $1 limit. As long as each invoice raised is at least 1 cent, the annual rent amount will be allowed.

E.g. If you wanted to charge 1 cent for a whole year it would need to be a yearly invoice rather than monthly.



✨RE-LEASED PAY✨

Allocate Re-Leased Pay payments to non-bank Chart of Accounts 

External accounting customers using Re-Leased Pay can now choose a different Chart of Accounts to allocate payments against. e.g. "Undeposited Funds". The chart of Accounts must have the "Enable payments to this account" option selected.

New feature announcements 

Report Builder

The Re-Leased Report Builder is a powerful new reporting tool which empowers you to create, edit, save and download customised tabular view reports of your data. This tool allows you to tailor your reports to meet your and your stakeholders’ preferences, from column ordering to the amount of data presented.

With minimal effort, you can generate customized reports using sample report templates, including Tenancy Schedule, Property List and Tenant List, that can be formatted to suit your business needs, giving you quick and easy access to the information you need when you need it.

In the coming weeks, we will continue to expand the range of data that is available to be reported on, and extend the ability to create more enriched reports with customized summaries.

New feature 

Lease Renewal Options is LIVE  

Never miss a time frame to renew your leases again with our new Lease Renewal Options functionality. This extension to our lease management capability will help keep your leasing process on track while seamlessly integrating reminders and critical dates into your existing workflows.

New fields available in Tenancies and Properties

We've introduced two new fields in the Tenancies and Properties area to enhance your ability to analyze your portfolio. 

The Tenant Industry field is a new feature at the Tenancy/Lease level, which includes a pre-filled list of industries generated from widely accepted global SIC codes. 

The Property EPC Rating field is a new feature at the Property level that includes a pre-filled list of Energy Performance Certificate (EPC) ratings, ranging from the most efficient rating A through to the least efficient rating G.

These fields will soon be integrated into dashboard views, enabling you to get an overall view of your exposure and weighting by Tenant industry and your Portfolio EPC position. This feature will provide you with valuable insights to better manage your portfolio.

Clearer terminology in maintenance work

We have improved the way you organize maintenance jobs and tasks in Re-Leased by introducing clearer terminology to distinguish between different levels of maintenance work.

A Maintenance job represents a larger maintenance item, such as cleaning gutters, that may contain one or more smaller tasks. 


For example, a property manager can set up a new maintenance job for cleaning gutters, and then add one or more recurring or one-off tasks under that main job. This feature is particularly useful if they need to work with multiple contractors to complete the job. 




✨BUDGETS✨



New feature 

Budgets supporting multi-area tenancies is LIVE  

All customers now have access to the recent Budget by Area updates that support multi-area tenancies, which were previously in beta testing. 

This update now comes with a number of exciting new capabilities; a useful on-page budget guide (1) to help remove any workarounds that may have been in place, improved performance for displaying income line items (2), and budget income reporting that reflects all allocated income without requiring a budget reconciliation. All functionality is available through the new Income to Area tab.

Budget certificates can now be directly emailed to your Re-Leased contacts

Customers will no longer need to download large amounts of budget certificates, extract their required contents and create individual emails to send each attachment.

We are pleased to announce the ability to bulk email both Owner and Tenant budget certificates directly to your Re-Leased contacts from the system.

Re-Lease Pay Status

To enhance the visibility of a tenant's recurring payment status and payment method, we're introducing a Re-Leased Pay Status in both Tenancy Summary and Rent and Outgoings areas in Re-Leased.

Three types of statuses can be found on the Tenancy Summary and Tenancy Rent and Outgoings pages:

1. When the tenant has successfully set up recurring payments

2. When the tenant has not set up Recurring Payments

3. When the company has not set up Re-Leased Pay

We're thrilled to announce the launch of our latest new feature! Lease Renewal Options have been created to enable you to set reminders and track critical dates in your leases, ensuring you never miss an important deadline to renew a lease. 

Lease Renewal Options has been specifically designed to integrate seamlessly with your existing term renewal workflows, and our team has worked hard to ensure that this feature is easy to use and requires minimal setup, so you can quickly get started and keep your leasing process on track. Click here to learn how to get started!

The importance of timing cannot be overstated, as letting leases expire without a renegotiated or renewed plan can result in significant financial consequences. Our new Lease Renewal Option Expiry date and reporting capabilities are designed to provide advance notice of crucial dates, allowing you to take proactive measures and staying on top of your leases.

We're thrilled to offer a sneak peek of our upcoming feature, Lease Renewal Options! Our team are putting the finishing touches on this workflow and aiming to have a beta test group activated by the beginning of next week. New feature improvements

Email financial reports to additional recipients 

When emailing the financial summary or financial details report, users can now include additional recipients that are specified on the owner contact. This removes the need to manually email the report to additional contacts that are already specified against the owner.

• Save time by consolidating workflows

Customers can now report on tenant security deposits in the new Tenancy Schedule. This information is now available at the tenant level when the Tenancy Schedule report is grouped by 'Tenancy'.

New Public API Feature - Create Contacts + Filter Invoices by UpdatedAfterDate 

We are happy to announce two new features of our Public API:

  • Create Contacts endpoint: the new POST /api/contact endpoint is available to create contacts
  • Filter invoices by UpdatedAfterDate: there is a new way of filtering invoices using the UpdatedAfterDate parameter

Small update to Tenancy Schedule Beta Landing Page  

The Tenancy Schedule (Beta) landing page has had a small update. Saved reports are now visible in a list rather than large cards. This update will make it easier to work with a larger number of report customisations and starts to lay the groundwork for future reports templates and UI in this area.

Our team have been doing some awesome work on updating our Add-ons and Integrations page; giving it a fresher look and more logical groupings to our integration options.

I am excited to share that this improvement marks the first step in our initiative to refresh the entire onboarding experience for new Connected Accounting customers. The ultimate objective is to provide faster and smoother first impressions of Re-Leased while reducing the likelihood of integration errors.

Document Subfolders are here!💥 

After so many customers asked for this, we couldn't ignore it any longer. We have implemented a document subfolder feature for a simpler way to organise, find and access your property and tenancy documents.

This improvement allows you to:

  • Create or delete multiple layers of folders and subfolders
  • Rename and move your subfolders under any given folder
  • Organise your documents under Properties and Tenancies/Leases
  • Move documents from one folder location to another

Get support within the in-app Customer Support 🤝

We are delighted to announce our improved in-app Customer Support functionality is now live for all Re-Leased customers! This convenient feature allows you to find answers to your questions, submit feedback, or open a support ticket quickly and easily without ever having to leave the system.

There is a lot to love: 

  • More convenient - available at the click of a mouse.
  • Faster solution – find answers to your questions quicker & easier.
  • Even more support – find helpful articles, submit feedback, or open a ticket without leaving the app.
  • Monitoring your activity - Submitting tickets via the in-app Customer Support functionally or Knowledge allows customers to track their tickets under ‘My Activity’

New feature 

Budgets by Area 💚 Multi-tenants💚Enhancements to the budget reconciliation process

Announcing a new Budget by Area functionality that our customers have been asking for some time - Budgets by Area now supports tenants who occupy more than one area!

And as part of this area improvement, we have also made enhancements to the budget reconciliation process by adding a new Income to Area step to give customers with properties that contain tenants across multiple areas an option to allocate all income raised against more than one area - something that could not be done easily before.

Budget by Area 💚 Report Updates

Budget Summary Report 
Users of the Budget Summary Report can now choose to display Chart of Accounts Codes to ensure the summary report is better aligned with the current Budget summary screen.


Report Layout Changes 
Along with this update, we have also slightly improved the user interface for the following budgeting reports to better align the usability of the rest of the application.

The updated reports include:

  • Budget Summary
  • Budget vs Actual
  • Budget Income

New feature 

Budget summary report - Variance reporting

The new Variance Reporting functionality in the Budget Summary Report function now allows customers to add up to two extra budgets to compare results against, as well as, an option to include a variance column in the report to reflect the percentage change against the anchor budget. This functionality is also available when the report is exported from the system.

Re-Leased Pay - Additional ACH bank account support and Micro-deposits 

Re-Leased Pay US customers are now able to benefit from additional ACH bank account support as we replace our third-party payment provider, Plaid.

 Some of the immediate customer benefits include:

  • Additional support for an extended network of 1,500+ banks, bringing the total number of supported banks up to 6,000+
  • An enhanced user experience, US tenants will no longer have to leave the payment window to authenticate their bank account during the payment process.
  • If the tenant's bank is, however, not supported, the tenant can still authenticate their ACH payment securely by manually entering a Micro-deposit code sent to your email.
