✨ Property Management ✨

Add tags when logging maintenance for better organisation from the start

We’ve improved the maintenance task creation flow to help you create maintenance tasks faster and stay organised from the start. The creation flow is now cleaner and easier to use, and you can also add tags immediately when logging a new maintenance task, which will make it simpler for you to group, prioritise, and track tasks across your portfolio right from the moment they’re created.

✨ Accounting✨

Consolidate line Items for rent and outgoings invoice PDFs
improvements 

The "Consolidate Line Items" setting provides a simplified invoice PDF presentation for rent and outgoings/service charge invoices. When enabled, this feature displays multiple line items as a single entry with a descriptive label showing the relevant period.

How It Works
When the "Consolidate Line Items" setting is turned on

  • Rent Invoices : All line items will be consolidated into a single line displaying "Rent for the period [start date] - [end date]"
  • Outgoings/Service Charge Invoices : All line items will be consolidated into a single line displaying "Outgoings for the period [start date] - [end date]"


Important Limitations

1. Invoice Type Restriction: This setting only works with rent and outgoings/service charge invoices. Other invoice types will continue to display all line items individually.
2. Tax Rate Column Compatibility: The optional tax rate column cannot be displayed when the "Consolidate Line Items" setting is enabled. These two settings cannot be used simultaneously.



Trust/Client Accounting customers: Fee invoices that finally make sense
improvements 

With our latest Trust and Client Accounting update, fee invoices are now correctly addressed to property owners, include clear payment advice confirming that fees will be automatically deducted from the client account, and can be automatically included with owner statements. These updates can also be configured at the individual owner level to suit different reporting requirements.

What's changed?

1. Fee Invoice Format Updates: The updated fee invoice format now displays the property owner’s name and address, shows the managing agent’s tax number in the top right corner, and includes this standard payment note: “Payment will automatically be deducted from client account, no further payment is required.”

2. Sending Owner Statements : A new "Fee invoice" checkbox column has been added in the "Owner communications" section of disbursement correspondence.

3. Owner Contact Settings : There is a new default setting that controls whether fee invoices are attached to statements by default for each specific owner.

Xero accounting customers: Rounding support on invoices for Xero
improvements 

Our Xero integration now supports rounding on invoices, including both positive and negative variances.To ensure accurate totals across both systems, we automatically add a rounding line item to invoices that require rounding when syncing to Xero. This uses Xero’s dedicated “Rounding” Chart of Accounts. This ensures invoice totals match the source system, and we sync that rounding line back into Re-Leased so that both systems stay and look aligned.


✨ Re-Leased Pay✨

More flexibility with Re-Leased Pay: Configure payment methods and fee allocation your way

Re-Leased Pay customers can now easily manage which payment methods are available to tenants and who covers transaction fees.

Set different payment options and fee rules based on the company or type of property, such as commercial, residential, or agricultural, and get greater control over how rent is collected. Whether you want to pass on fees to tenants or absorb them yourself, you can now configure this to suit your portfolio and business needs quickly and easily in the Re-Leased Pay Hub.

Area-level custom fields are now available in reports

If you’ve created custom fields for tenancy areas, you can now also report on them. Simply create a new or adjust an existing Tenancy Schedule/Rent Roll report in the Report Builder or an Invoice Details and Payments Report under the Financial Reports section.

New feature 

Gmail email integration is now available — bring your property communications in Re-Leased
Available for Core, Pro and Enterprise customers.

Until now, Re-Leased’s email integration only supported Microsoft Outlook, leaving Gmail users without a direct connection between their inbox, Credia AI tools, and some of the other key workflows. As a result, teams have been relying on workarounds which have added extra steps to keep email conversations linked to tenancies, contacts, and property records.

That’s all changing now with the release of our new Gmail email integration.

Whether you're a property manager coordinating repairs, lease renewals and rent reviews, or part of the finance team managing arrears, budgets and supplier communications — you can now connect your work Gmail account directly to Re-Leased and experience a faster, more connected way of working. You’ll be able to centralise all your tenant and property email communications in one place and make the most of our Credia AI workflows easier — all without switching between tools. 

Your email privacy matters
We know email privacy is critical which is why we’ve added extra controls so you can manage exactly what emails show up in Re-Leased. For example, you can now filter to include or exclude specific domains or email addresses which helps to ensure only relevant communication is visible to you in your My Inbox.

Available for Pro and Enterprise customers.

Managing approvals for property-related expenses can be time-consuming and difficult to track - especially when invoices need to be reviewed by multiple people across property and finance teams. That’s why we’re introducing a smarter way to manage the process.

With our new Invoice Approvals feature, you can now set up customised approval workflows that reflect the way your business operates. Whether you're managing a single commercial property or an extensive portfolio, you can build approval steps based on invoice amounts, assign the right people or teams to review specific types of invoices and ensure escalation rules are in place if approval is delayed.

It’s designed to give you more oversight, consistency, and control, without creating extra admin. You can say goodbye to chasing approvals via email or manually tracking who needs to sign off what. Everything is managed in one place, and every action is recorded, so you have a clear audit trail of who approved what and when.

Sending fee invoices to owners is now available for Beta testing (Trust/Client Accounting)
beta testing 

Trust/Client Accounting users can now beta test a new functionality which automatically attaches fee invoices to owner statements, providing property owners with complete transparency about all charges in one convenient document. To enable this feature on your account, navigate to Available Betas> Send Fee Invoices to owners > Click Enable for companies to start testing. 

Note: If the 'Enable for companies' button is greyed out, contact a colleague who has an Administrator role for Re-Leased and ask them to enable this feature for your company.

Our Client and Trust Accounting users are getting a refreshed version of their ledger lists!

This fresh new look makes managing ledgers easier with:

- A new filter to only show ledgers with withholds
- An account switcher for users with access to multiple bank accounts

🎉✨ INTRODUCING MANAGEMENT FEES✨🎉

Managing owner fees just got easier. With Management Fees, you can now automatically raise fees when specific events occur in Re-Leased, saving you time and eliminating the need to do this work outside the platform. Once fee rules are created at the tenancy or property level and fees are raised, invoices can be conveniently generated in bulk in the Owner Fees area.

What you can do:

  • Flexible fee setup: Create fixed fees, percentage-based fees, or a combination of both to match your management agreement
  • Bulk invoice generation: Raise multiple fees and generate invoices for each owner in just a few clicks. Each invoice will include a clear breakdown of all fee line items
  • Simple fee tracking: Filter and view draft, invoiced and generated fee invoices in one place, bulk select the fees you want to invoice, or export your fee data from the screen to a CSV file


Property Fee Report in the Report Builder
You can also create property fee reports using the Report Builder. The report includes two key sets of information, making it easy to calculate the value of your portfolio at a specific time:

  • Property details – such as name, address, and owner
  • Fee details – such as fee name, fixed fee, percentage, and Chart of Accounts (CoA)

You can also use this report to identify underperforming properties in your portfolio and model how adjusting management fees could impact their value. It can also help you optimise staffing by showing whether underperforming properties need more resources or if staff can be reassigned to improve efficiency.

Custom fields now also available at the Area level

Package users can now add custom data at the area level! Previously, custom fields were only available for properties, tenancies, and contacts—but now, you can use them for areas too. This means you can easily track key details like flooring type, HVAC specifications, EV chargers, EPC scores, and expiry dates, or any other information you need — whether for individual units, entire buildings, or shared spaces like car parks. Custom fields give you the flexibility to create, edit, delete, and report on your unique data, plus bulk import multiple values into Re-Leased in just a few clicks.

Customise your energy ratings
We’ve introduced the ability to customize your EPC ratings to match the energy rating system used in your region. You can now create, edit, or delete ratings for properties and areas in the Settings and Areas sections of the system. Users with access to Re-Leased Insights Strategic Dashboards can also pull energy rating data into EPC rating dashboards for deeper portfolio analysis. You can now assign multiple areas to a compliance record and specify an external responsible party, such as an owner or tenant. XERO:  Re-Leased supports discounts on Xero invoices
Xero accounting users can now sync invoice discounts between the two platforms. Previously, syncing invoices with discounts from Xero to Re-Leased led to inaccurate totals and risked overwriting discounts in Xero after editing invoices in Re-Leased. Now, we fully support percentage and fixed-amount discounts for Xero income invoices, ensuring totals remain accurate across both platforms.

💚Customer Love Sprint: The November edition💚

Firmly rooted in our belief that addressing even the smallest inconsistencies and paper cuts in the platform is as vital – if not more so – than focusing on introducing new flashy features in the product, our Customer Love Sprint initiative sits right at the core of our product thinking.

And what better way to demonstrate this than by running not one, but two Customer Love Sprints in the same year! 

Like our Valentine’s Day Customer Love Sprint in February, this Customer Love Sprint focused on addressing customer feedback, pain points, and product requests. We believe that responding to customer needs isn’t just about feeling good or improving a CSAT score —it’s about delivering real impact and value in their everyday workflows. 

To learn more about these Customer Love Sprint enhancements, our Product Managers have created short demo videos and product description summaries for you below. Each video will showcase some of the key improvements they worked on, ranging from feature refinements to visual enhancements.

💚PROPERTY MANAGEMENT 💚


💚Property List Page 
We’ve enhanced the way you can view information across the Property List Page: 

  • Filter by Owner 
  • More columns for faster access to your information: this includes tenancies (with links), property owner and custom fields.

💚The Maintenance Hub 
Users typically have multiple work order tasks within a maintenance event, which usually requires individually completing these tasks. We have made this process a lot more efficient.

  • Now you can complete work orders when completing a maintenance event.  
  • We have also introduced the ability to select all tags within the Maintenance Hub to enable users to easily de-select tags of no relevance. 
  • The maintenance feed within a maintenance task pages also becomes increasingly difficult to navigate as comments start to add up. To resolve this, we have introduced filtering. 

💚The Compliance Hub 

  • We have also introduced enhanced filtering within the Compliance Hub, namely adding in company and property owner filters. 
  • The activity feed within compliance details becomes quite crowded as the comments rise too; to improve this view, we have also introduced filtering here. 
  • Users can now also assign an external responsible party for a compliance, like a tenant or property owner.

Property insurance is now visible within the Insurance Hub to view.

💚TENANCY MANAGEMENT💚


💚Bulk Rent Review
When choosing a specific adjustment amount for bulk rent reviews, we have enabled users to be selective with the review type this applies to. This solves an existing problem where an adjustment amount applied to all rent review types within a bulk rent review.  

💚The Rent Escalation Scheduler 
The Rent Escalation Scheduler no longer auto-populates values against the new date and new amount field. We have also added in the ability to create a new rent review type within this feature. Also, upon completion of a rent review, you can now return directly to the Rent Review Hub. 

💚Budgets
Within the Expense to Schedule page, we have introduced a “from” column to identify a supplier contact to offer more context when allocating an expense across multiple schedules.  

💚Arrears Hub
An arrears status can be directly updated now within the Arrears Hub preventing the need to navigate to the individual tenancy to update this information. 

💚Late Fees
Tenancies that are placed into a “holding over” state are now included within a Late Fee rule. A late fee will incur now whenever payments are late.

💚Easier to read invoice PDFs
The font size on invoice PDFs could sometimes be too small to read for tenants, so we’ve added a new setting that allows you to use a larger font size on income invoice PDFS.

💚Raise fees when rent is demanded, rather than when paid
This means you don’t have to wait for rent to be paid before raising a fee, the fee can be raised as soon as a rent invoice has been approved! 

💚The bank account reconciliation report now has a line for suspense ledger balances
This is particularly important for our Australian customers as it was a compliance issue. 

💚Easier to create/edit direct on charge templates
Now when inputting a % of allocation, the pre-filled amount is selected so you can start typing the new figure with one click.

💚Close of period page – better filters and more user-friendly
The old version of this page was in the old style and had limited search filter options. Now you can filter by status and bank account, as well as displaying in a cleaner looking list. 

💚Refreshed contact owner statement page
The owner statements page under a contact has a fresh new look, which allows you to raise a reprint fee separately from the download/email. We’ve also improved the workflow of emailing/downloading owner statements for an owner to be simpler. This is also step one in being able to bulk download or bulk email owner statements for a specific owner.

💚CONNECTED ACCOUNTING 💚

 💚Invoice Sync Status 
Users can now at a glance see the sync status for invoices both from the invoice list view and at an individual Invoice level. Not only are we surfacing the sync status but also any corresponding sync error messages can be found by hovering over the icon.

Sync Statuses:

  • Pending
  • Sync Error
  • Synced
  • Unlinked - Unlinked via sync results.
  • Excluded - This means that the transaction will not be synced.   

💚Enabling “Awaiting Approval” status for Vacating Credit Notes  
We've enabled Credit Notes created during the vacate process to be saved in an "Awaiting Approval" state, allowing customers to manage approvals directly in Xero. Previously these CN's could only be "Saved and Approved". 

💚Netsuite Sync Improvements
To improve sync reliability, we've added a 45-character limit and an error message in Re-Leased for the invoice reference field, aligning with NetSuite’s requirements and reducing sync failures

💚Enabled the ability to set a Default Expense Account for Contacts (creditors)  
We've added the ability for CA customers to set a Default Expense Account at the contact level, similar to the existing feature in Trust Accounting. This addition also enhances the Xero work order experience by using this default account when no COA is found on a maintenance item. Additionally, we're considering syncing this field with Xero, eliminating the need for manual updates for Xero users.  

💚New tracking UI improvements
Streamline multi-line invoice management for NetSuite and Sage Intacct integrations by reducing repetitive data entry and enhancing usability. Users can now apply tracking options across all invoice lines at once, see tracking settings directly on the edit page, and auto-populate tracking on new line items based on existing entries. Expand/collapse functionality further improves the interface, keeping tracking details organized and accessible. These changes make managing property-related invoice data more efficient and consistent, adding value by saving time and minimizing input errors.

💚Tenancy Schedule/Rent Roll report now includes:

  • Future Rent summary metric
  • An option to Sort by Company
  • Display the property name at the top of the PDF export (when only a single property is selected)
  • Floor and suite can now be found in areas and are sortable which allows users to view their Tenancy Schedule/Rent Roll reports in a way that reflects their physical building layout
  • VAT Elected and VAT Effective Date 
  • We now support select custom fields and have added an indicator to specify which columns are custom fields.

  • The account class dropdown is re-ordered to match the convention
  • Tax (or GST) Code and Tax Name are also now available

💚RE-LEASED PAY AND COMMUNICATIONS💚


💚Re-Leased Pay Invoice templates
You no longer need to create extra invoice templates when onboarding to Re-Leased Pay. Previously, setting up a new account required selecting or creating a custom template to include online payment details and ensuring your tenancies used those templates. Now, if you’re using the master template, everything is ready for your tenants to pay via Re-Leased Pay—no additional steps required. This improvement applies to new accounts, while we’ll add extra configuration for existing ones. Your custom invoice templates will still have payment options enabled by default, but you can turn these off anytime if needed.

💚Your tenants can now see available payment methods on your Re-Leased Pay emails and invoices 
Your Re-Leased Pay invoices and emails will now show all the payment methods your tenants can use, based on your region. Before, only a few credit card logos were shown, which sometimes made tenants think those were the only options. Now, tenants can clearly see all the ways they can pay, making it simpler and less confusing for them.

💚Re-Leased Pay tenants' email communications 
The Re-Leased Pay button on your invoice emails now looks clearer and more professional. And we’ve also made it easier for tenants to set up recurring rent payments by improving the invitation emails they receive.

💚Communication enhancements💚

💚You can now disconnect expired accounts 
This update makes things easier if you had an old email account linked to Re-Leased that you no longer use. Previously, if the connection expired, you could only reconnect the account—you couldn’t remove it. Now, you can easily disconnect expired accounts and link the email accounts you actually need.

💚Smarter redirections when sending emails
We’ve made enhancements to bring you back to the page you were working on after sending an email. You used to always be taken back to the tenancy history tab, regardless of where you were sending your emails from.  These enhancements will now allow you to get back to the right page after sending an email.

Simplify your calendar chaos by receiving automatic notifications before an important deadline. With compliance reminders, you'll never miss another compliance expiry date again. Just set a reminder during the compliance creation process to start receiving timely notifications via email and see reminders on the dashboard calendar, where you can also take action on them.

Simply setting up compliance with Templates

Create customised compliance templates to simplify setting up new compliance records and managing overall compliance, especially when you need flexibility or have detailed internal processes to follow. It has always been straightforward to add a new property and assign all your preferred suppliers to it. With the new feature under Contacts > Properties, you can now easily assign contacts, including maintenance contacts and BPAY creditors, to multiple properties at once.

Xero integration settings and syncing your Re-Leased work orders directly as purchase orders in Xero
You can now manage your accounting integration settings more easily by accessing a detailed view pop-up screen for each integration. Simply navigate to Settings > Manage Integrations and Add-ons > View Details > Settings tab

No more hunting through scattered emails in Outlook – everything you need can now be conveniently consolidated inside Re-Leased.

Last year, we began discussing the concept of adding a two-way email capability to Re-Leased. Since then, we have dedicated considerable efforts to enhancing the platform to seamlessly accommodate this functionality. Now, we are thrilled to announce a major milestone in this journey with the launch of an Outlook Email Integration product specifically designed for our Microsoft Outlook users.

You can now seamlessly connect your Microsoft Outlook email account with Re-Leased to efficiently organise and manage all your essential incoming and outgoing tenancy, owner, and supplier emails. These emails will be neatly sorted against your tenancies and contacts within the Re-Leased platform. 

To get started, follow the steps below to connect your Outlook email account with Re-Leased.

  1. Navigate to My Account > Connected Accounts > Outlook Email and click connect
  2. Choose which Microsoft account you want to connect to and accept the verification
  3. Your account is now connected. Navigate to Contacts >Emails or Tenancy>Emails to experience it first-hand.

Easier way to manage rebates, rental incentives and abatements 
Whether you’re offering rent-free periods, rental discounts, rent relief, rent holidays or other lease incentives, you can now save hours of administration time and get more accurate discount vs actual rent reporting by utilising our newly improved discounting process available to our Trust/Client Accounting users.

Previously, applying discounts involved users recording them as negative line items on both rent and outgoings invoice templates. This resulted in users having to set up and maintain two separate invoices, while tenants received two monthly invoices instead of one.

With our latest enhancements to Trust/Client Accounting, we've streamlined this process. Now, users can conveniently apply the discount amount directly in its designated discount field on the same line as the rent, making it much simpler.

Introducing custom tags and simplified statuses
Users have the power to create and associate multiple custom tags to their maintenance tasks. This capability allows you to tailor your tags according to your business processes and categorise and prioritise tasks in a way that best suits your workflow – whether it’s by location, maintenance lifecycle stage, priority level or any other criteria.

In addition to custom tags, we've also simplified the categorisation of task statuses. They are now grouped into three distinct states: incomplete, complete, and cancelled.

 

Another useful Maintenance Hub update is a functionality called sticky filters. Sticky filters ensure that your filter selections, and soon sorting order too, are remembered by the system, even if you navigate to other areas and then return to the Maintenance Hub. Once set, your chosen filters will still be in place! Pretty handy, right?

Sticky filters are also going to be useful if you prefer to view tasks in your Maintenance Hub differently from how the default filters present the information. With sticky filters, you can save your customised Maintenance Hub view without having to adjust the filters every time.

Download a Tenancy Schedule/Rent Roll report into a flat format file in Excel or PDF
You can now download a Tenancy Schedule/Rent Roll Report into a flattened file in Excel for further analysis, data manipulation and reporting purposes. Large flattened files, in contrary to nested files, take less time to download and allow you to perform common data operations more easily including the basic functions of sorting, filtering, and applying formulas without the hassle of needing to navigate through more complex nested structures.

To get started, simply click to Display settings > tick Flatten into single list box > Apply settings and run >download as Excel or PDF.

Streamlined invoice processing for QBO and Sage Intacct Users
QBO and Sage Intacct customers no longer need to go through the hassle of manually splitting multi-property invoices into separate invoices to ensure proper budget flow. The system now handles line items tracking to multiple properties in the same invoice, and ensures all expenditure is automatically recorded against the correct budget items.
