✨ Property Management ✨

Add tags when logging maintenance for better organisation from the start

We’ve improved the maintenance task creation flow to help you create maintenance tasks faster and stay organised from the start. The creation flow is now cleaner and easier to use, and you can also add tags immediately when logging a new maintenance task, which will make it simpler for you to group, prioritise, and track tasks across your portfolio right from the moment they’re created.

✨ Accounting✨

Consolidate line Items for rent and outgoings invoice PDFs

The "Consolidate Line Items" setting provides a simplified invoice PDF presentation for rent and outgoings/service charge invoices. When enabled, this feature displays multiple line items as a single entry with a descriptive label showing the relevant period.

How It Works
When the "Consolidate Line Items" setting is turned on

  • Rent Invoices : All line items will be consolidated into a single line displaying "Rent for the period [start date] - [end date]"
  • Outgoings/Service Charge Invoices : All line items will be consolidated into a single line displaying "Outgoings for the period [start date] - [end date]"


Important Limitations

1. Invoice Type Restriction: This setting only works with rent and outgoings/service charge invoices. Other invoice types will continue to display all line items individually.
2. Tax Rate Column Compatibility: The optional tax rate column cannot be displayed when the "Consolidate Line Items" setting is enabled. These two settings cannot be used simultaneously.



Trust/Client Accounting customers: Fee invoices that finally make sense
improvements 

With our latest Trust and Client Accounting update, fee invoices are now correctly addressed to property owners, include clear payment advice confirming that fees will be automatically deducted from the client account, and can be automatically included with owner statements. These updates can also be configured at the individual owner level to suit different reporting requirements.

What's changed?

1. Fee Invoice Format Updates: The updated fee invoice format now displays the property owner’s name and address, shows the managing agent’s tax number in the top right corner, and includes this standard payment note: “Payment will automatically be deducted from client account, no further payment is required.”

2. Sending Owner Statements : A new "Fee invoice" checkbox column has been added in the "Owner communications" section of disbursement correspondence.

3. Owner Contact Settings : There is a new default setting that controls whether fee invoices are attached to statements by default for each specific owner.

Xero accounting customers: Rounding support on invoices for Xero
improvements 

Our Xero integration now supports rounding on invoices, including both positive and negative variances.To ensure accurate totals across both systems, we automatically add a rounding line item to invoices that require rounding when syncing to Xero. This uses Xero’s dedicated “Rounding” Chart of Accounts. This ensures invoice totals match the source system, and we sync that rounding line back into Re-Leased so that both systems stay and look aligned.


✨ Re-Leased Pay✨

More flexibility with Re-Leased Pay: Configure payment methods and fee allocation your way

Re-Leased Pay customers can now easily manage which payment methods are available to tenants and who covers transaction fees.

Set different payment options and fee rules based on the company or type of property, such as commercial, residential, or agricultural, and get greater control over how rent is collected. Whether you want to pass on fees to tenants or absorb them yourself, you can now configure this to suit your portfolio and business needs quickly and easily in the Re-Leased Pay Hub.

Area-level custom fields are now available in reports

If you’ve created custom fields for tenancy areas, you can now also report on them. Simply create a new or adjust an existing Tenancy Schedule/Rent Roll report in the Report Builder or an Invoice Details and Payments Report under the Financial Reports section.

New feature 

Gmail email integration is now available — bring your property communications in Re-Leased
Available for Core, Pro and Enterprise customers.

Until now, Re-Leased’s email integration only supported Microsoft Outlook, leaving Gmail users without a direct connection between their inbox, Credia AI tools, and some of the other key workflows. As a result, teams have been relying on workarounds which have added extra steps to keep email conversations linked to tenancies, contacts, and property records.

That’s all changing now with the release of our new Gmail email integration.

Whether you're a property manager coordinating repairs, lease renewals and rent reviews, or part of the finance team managing arrears, budgets and supplier communications — you can now connect your work Gmail account directly to Re-Leased and experience a faster, more connected way of working. You’ll be able to centralise all your tenant and property email communications in one place and make the most of our Credia AI workflows easier — all without switching between tools. 

Your email privacy matters
We know email privacy is critical which is why we’ve added extra controls so you can manage exactly what emails show up in Re-Leased. For example, you can now filter to include or exclude specific domains or email addresses which helps to ensure only relevant communication is visible to you in your My Inbox.

Take the hassle out of invoice approvals – and stay in control of your property finances
Available for Pro and Enterprise customers.

Managing approvals for property-related expenses can be time-consuming and difficult to track - especially when invoices need to be reviewed by multiple people across property and finance teams. That’s why we’re introducing a smarter way to manage the process.

With our new Invoice Approvals feature, you can now set up customised approval workflows that reflect the way your business operates. Whether you're managing a single commercial property or an extensive portfolio, you can build approval steps based on invoice amounts, assign the right people or teams to review specific types of invoices and ensure escalation rules are in place if approval is delayed.

It’s designed to give you more oversight, consistency, and control, without creating extra admin. You can say goodbye to chasing approvals via email or manually tracking who needs to sign off what. Everything is managed in one place, and every action is recorded, so you have a clear audit trail of who approved what and when.

Sending fee invoices to owners is now available for Beta testing (Trust/Client Accounting)

Trust/Client Accounting users can now beta test a new functionality which automatically attaches fee invoices to owner statements, providing property owners with complete transparency about all charges in one convenient document. To enable this feature on your account, navigate to Available Betas> Send Fee Invoices to owners > Click Enable for companies to start testing. 

Note: If the 'Enable for companies' button is greyed out, contact a colleague who has an Administrator role for Re-Leased and ask them to enable this feature for your company.

Our Client and Trust Accounting users are getting a refreshed version of their ledger lists!

This fresh new look makes managing ledgers easier with:

- A new filter to only show ledgers with withholds
- An account switcher for users with access to multiple bank accounts

We’re excited to share some new updates with you! We’ve introduced a new Beta Program area in Re-Leased to make it easier for you to join and beta test our new features. For our Xero and QuickBooks Online customers, we’ve added useful syncing features to further enhance your daily accounting workflows between Re-Leased and the accounting platforms. Additionally, we’ve made improvements to our rent review capabilities and enhanced our Tenancy Schedule/Rent Roll, Tenancy Statement, and Tenancy Summary reports to offer more detailed and accurate insights, helping you manage your properties more effectively.

Add preferred suppliers or BPAY creditors to multiple properties simultaneously
It has always been straightforward to add a new property and assign all your preferred suppliers to it. However, adding a new supplier to multiple properties in your portfolio used to involve a lot of manual work, entering them one by one. Not anymore! With the new feature under Contacts > Properties, you can now easily assign contacts, including maintenance contacts and BPAY creditors, to multiple properties at once.

✨ RENT REVIEWS ✨

Automated Rent Reviews
You can now automatically adjust rental rates based on your lease terms with our Automated Rent Reviews feature. It ensures timely updates using fixed increments, making sure your reviews are always on schedule without any hassle.

In addition to this, you can now also set up default tenant notifications, property manager reminders, email templates, and forms for specific rent review types. This feature eliminates the need to repeatedly enter the same correspondence information for each review.

To set up default correspondence, go to Settings > Review Type, and either create a new rent review type or edit an existing one to set up default templates and notifications.

✨ ACCOUNTING INTEGRATIONS✨ 

New feature 
We're excited to introduce the new Sync Overview area for our accounting integration customers. 

This area simplifies life for multi-company groups by providing an easy way to identify and resolve issues in their integration connections. It's designed to give larger organizations a comprehensive view of the health of all accounting connections, one level above the existing Sync Results Page. New feature
Xero integration settings and syncing your Re-Leased work orders directly as purchase orders in Xero
You can now manage your accounting integration settings more easily by accessing a detailed view pop-up screen for each integration. Simply navigate to Settings > Manage Integrations and Add-ons > View Details > Settings tab

Thanks to this update, you can also now enable Xero Work Order syncing and begin syncing your Re-Leased work orders directly as purchase orders in Xero. Learn more about syncing work orders from Re-Leased to Xero as purchase orders here →

New feature
QuickBooks Online expense syncing
QuickBooks Online customers are now able to sync their expense transactions, created in QBO, as paid expense invoices in Re-Leased. This new functionality is optional, meaning you can choose to opt into it via your QuickBooks Online integrations settings. You can learn more about the new syncing functionality here → 

✨ PROPERTY REPORTING✨

You can now save time selecting the right tenancies by pre-selecting a tenancy type. When you filter by a tenancy type, the available tenancies in the Tenancy dropdown are now filtered down to only tenancies that match the tenancy type.

The Tenancy Summary Report now has Property Images enabled. To enrich the Tenancy Summary, toggle the Property image option in the Layout sidebar.

New navigation menu – a simpler way to find what you need and get things done faster

As we continue to improve the Re-Leased platform with more features and capabilities, we have noticed that some essential pages and product areas now require 3-4 clicks to reach. To help you save time and make things easier, we'll be making the navigation simpler, so you can switch between tasks and workflows smoothly.

This soon-to-be-released update is designed to improve your efficiency, making it easier to find what you need, and helping you get your work done faster. Now, you can navigate to your core workflows more efficiently and save valuable time.

The Main Menu

The new main menu will include a number of categories tailored to support your business processes. The menu items visible in your account are determined by your user permissions and your Re-Leased subscription.

To find specific product areas, click on a navigation menu category, then select the area you want to go to. Here's a summary of the categories and product areas:

  • My Calendar, Global Calendar and My Analytics are still accessible from the Dashboard
    Properties and Tenancies have moved to Property Management
  • Income & Expenses and Trust/Client Accounts have moved to Accounting
  • Insights, general reports and the Report Builder are available under Reporting
  • Contacts, Documents and Reminders live neatly under the Contextual Menu [...]
  • Account Settings can be accessed through your My Account

The Quick Links Menu

We will also make improvements to the quick links menu, located directly under the main navigation. Below is a summary of the menu items and quick access points to different tasks and actions.

  • The Search Bar performs a global search across all your properties, tenancies, documents, and contacts for your keywords.
  • Use the Add [+] button to quickly start adding new items, such as new properties, notes, contacts, process payments, and add invoices and credit notes. For users who handle Client/Trust Accounting, additional options include bank deposits, bank statement imports, and disbursements.
  • Use the Sync arrows to check and manage the status of your connected accounting synchronization.
  • The Rocket ship icon provides access to the Re-Leased Beta program area, another soon-to-be-released feature of Re-Leased, where you can opt in or out of current beta programs.
  • Personalize your experience with Re-Leased by adjusting Settings. You can also manage add-ons and integrations to suit your portfolio’s needs.
  • Use the [?] button to access in-app customer support and the Re-Leased Help, provide feedback, and read about our latest product updates. You can also submit product requests or upvote existing development items through the Re-Leased Product Roadmap link.

Automate rent review notifications to tenants ahead of time
Save time and ensure rent reviews are done ahead of time with our new automated rent review email notifications for tenants capability. This feature is currently undergoing Beta testing and is scheduled for release to all users in early 2024. Trust/Client Accounting main area
The Trust/Client Accounting main area will soon have a new look and feel. Some Re-Leased APAC region Trust/Client Accounting customers already have access to the updated page, while the remaining customers will receive access to the new page in early 2024. The updates made to the page layout not only increase the speed the page now loads but also allow you to surface more vital information at a glance.

Activity feed now supports internal-only commenting
Previously, all comments submitted through the commenting field in the maintenance task activity feed were visible to tenants in the Tenant App by default. Now, you have the option to decide whether to post external (tenant) comments or restrict them to internal only. This way you can safely leave notes, comments and clarifying instructions for your team to access without those details being publicly accessible to tenants.

View accepted quote requests with attachments
We have addressed a common customer pain point where maintenance quote request attachments and details became inaccessible and difficult to refer to once the quote request was accepted, making it challenging for users to refer back to. To resolve this, we've introduced a View Details button on the quote request area. This allows customers to view the submitted quote along with any associated attachments.

Better work order management
When initially creating a maintenance task, you might have a contractor in mind to associate with the task. However, you might find out that the contractor is not available to do the job when you need them to, or someone else comes back to you with better rates. Or perhaps the nature of the work changes and you need another contractor with different expertise to complete the job on time and within budget.

We get that, and this is why you can create and link an unlimited number of work orders to various contractors for your maintenance tasks and jobs. Whenever you assign a work order to a contractor other than the one originally or previously associated with the task, you will see a notification on your screen. This notification provides you with the option to either update and save the new contractor details, or simply keep the existing contractor information with a click of a button.

Task status report
You now have the ability to generate a maintenance report based on the actions taken for each task. Additionally, you can utilize the maintenance task statuses to quickly identify tasks associated with quote requests, pending approvals, and sent work orders. This enables you to monitor progress effectively and facilitates timely discussions with your contractor/supplier regarding the expected completion of the work. 

✨ REPORT BUILDER✨

Tenancy Schedule/Rent Roll now displays summary metrics which you can now turn on or off. Filter and rearrange metrics using the dragging tool. You will soon also be able to find summary metrics in the pdf summary metric download.

Linking and managing invoices from the task details page
Property Managers now have the ability to simplify their expense tracking and management process for specific tasks. This can be done by linking existing contractor invoices or creating new ones straight from the task details page.

Soon, we’ll also be introducing the capability to link multiple tasks directly from the invoice itself, as well as the ability to see which tasks have already been associated with which invoices.

Streamline your rent review process with confidence
Property Managers can now speed up the process of creating and performing rent reviews by pre-defining which rent review forms and agreements, communications methods, and email templates should be used as part of the review process. You can also preview and adjust the correspondence and attached information for each of your tenants before sending those emails out.

Save time and effort with tenant notifications
Instead of drafting individual rent review emails for each tenant, you can now reduce your workload by using our new Rent Review Tenant Notification template (or a customized version of it). We have also made it possible for you to email tenants directly from the dashboard rent review reminder, which saves you from having to navigate to other parts of the platform.

In the near future, you will also be able to reduce the risk of missing a key rent review date by having the ability to set up automated tenant reminders as part of a new rent review set-up process.

STREAMLINE YOUR RENT COLLECTION PROCESS 


New feature announcements 

We are excited to announce a new feature that will help streamline your rent collection process and significantly improve your payment management experience. With our latest Re-Leased Pay update, you can now set up recurring rent payments for your tenants, saving you time and reducing arrears. 

Say goodbye to chasing payments and hello to hassle-free financial management these three simple steps.

1. Simplify Rent Payment Tracking
Our system allows you to identify tenants who have already set up recurring rent payments easily. By checking the Re-Leased Pay Status on the Tenant Summary page, you can determine whether tenants are enrolled in recurring payments or not. This eliminates the need for manual tracking and provides you with a clear overview of payment statuses.

 
2. Prompt Tenants to Enroll in Recurring Payments
With just a few clicks, you can send an email to your tenants, encouraging them to set up recurring payments. Using our Re-Leased Pay Invitation Template, you can effortlessly notify multiple tenants about the benefits and guide them through the process. Simply include the link provided as part of the email template, and tenants will be directed to a page where they can securely save their payment details.


3. Enjoy Automated Payment Collection
Once tenants have completed the setup, their payments will be automatically processed for all future rent invoices. Our system securely stores their payment information, ensuring a smooth and efficient payment experience. You no longer need to spend valuable time manually collecting payments or dealing with late payments.

Join a Beta testing group!

We're currently recruiting customers for a closed beta group for Effective Paid to Dates. 

The effective paid to date feature takes into account all the rent payments made by the tenant, including full and partial payments, and calculates the date until which they are considered effective or up to date, helping property managers to more accurately manage cash flow, assess tenant performance, and enforce lease terms and conditions.

With the increasing demand for energy-efficient buildings and new government-imposed green regulations, knowing your properties’ energy performance certificate (EPC) rates has become increasingly valuable to know.

Back in March, we introduce the property EPC rate field capability in the property area, and now, we have made reporting this field possible in the Re-Leased Report Builder.

To create a property EPC rate report, simply navigate to the Report Builder > Create a new Tenancy Schedule > Include property EPC rate field and other relevant information you wish to report on and generate your report.

Share Insights with internal and external stakeholders

Re-Leased Pro and Enterprise customers can now share and schedule Insights dashboards and tile visualisations with their key internal and external stakeholders.

With the Insights scheduled delivery functionality, you can easily set up scheduled email deliveries within Re-Leased. Just filter your data based on your requirements and automate the delivery cadence. This allows you to effortlessly share important business information with your colleagues, executive management, and non-Re-Leased/Insights users in just a few clicks.

Improved accuracy in Insights metrics

When dealing with large monetary figures, having only one decimal point of precision can lead to significant rounding errors. Hence, all monetary-related metrics within the Operational and Strategic dashboard suites are now displayed at least two decimal points.

The two decimal point modification also applies to Fee percentages.

Email financial summary and financial details reports without timing out

Users now have the option to email the financial summary or financial details report to themselves or their owners via a background process. Now, no matter how many owners you run the report for, it will not time out in the browser as it may have previously done at the End of Financial Year.


Please note, if more than 30 owners are selected, the Generate Report on Screen and Download buttons will be disabled. To generate larger reports for more than 30 owners, you are required to opt for the Email report option.

Easing editing restrictions on invoices that have appeared on 
an owner statement

Editing restrictions to invoices and credit notes that had appeared on owner statements were introduced last month but they were too restrictive. We will now allow the reference and description fields to be edited after appearing on an owner statement.

Bulk email receipts

Say goodbye to downloading receipts one by one and manually emailing them to your tenancy contacts. With our bulk email receipts functionality, you can now select multiple receipts and email them directly from Re-Leased to the respective tenancy account contacts.

Even if the receipt is not associated with a tenancy, you can still email it to the contact who made the payment.

The importance of timing cannot be overstated, as letting leases expire without a renegotiated or renewed plan can result in significant financial consequences. Our new Lease Renewal Option Expiry date and reporting capabilities are designed to provide advance notice of crucial dates, allowing you to take proactive measures and staying on top of your leases.

We're thrilled to offer a sneak peek of our upcoming feature, Lease Renewal Options! Our team are putting the finishing touches on this workflow and aiming to have a beta test group activated by the beginning of next week. Email financial reports to additional recipients 

When emailing the financial summary or financial details report, users can now include additional recipients that are specified on the owner contact. This removes the need to manually email the report to additional contacts that are already specified against the owner.

Small update to Tenancy Schedule Beta Landing Page  

The Tenancy Schedule (Beta) landing page has had a small update. Saved reports are now visible in a list rather than large cards. This update will make it easier to work with a larger number of report customisations and starts to lay the groundwork for future reports templates and UI in this area.

Our team have been doing some awesome work on updating our Add-ons and Integrations page; giving it a fresher look and more logical groupings to our integration options.

I am excited to share that this improvement marks the first step in our initiative to refresh the entire onboarding experience for new Connected Accounting customers. CREDIA Budgets vs Actuals reporting

The new Budgets vs Actual Overview  dashboard in CREDIA includes the Total, Amount consumed, and the Remaining Amount (under-expected/over-expected) of the Budget together with a split among the different budget cost classification types. 

This new dashboard also utilizes a new data model which makes the loading up to 10 times faster than other reports.

We have made changes to the Re-Leased Pay Checkout experience for tenants, which will drive the set-up of recurring Rent payments by default (instead of one off payments as was the previous default).

Edit reference on paid expense invoices & credit notes

If an expense invoice or credit note has a payment against it, many fields become un-editable.
Users can now edit the reference field on an expense after payment has been made.

Maintenance Contacts now pull through to Quote Requests

If you have a Maintenance Item with a Contractor selected, and then go to send a Quote Request, the selected Contractor name will now pull through automatically to the Send Quote Request Email template, saving users from manually adding this Contact. If needed, you can still add further Contacts to send the Quote Request to as well.

We've recently enabled the new Tenant's Insurance tab in the Insurance Hub for our Beta testers. This will allow similar functionality for managing Tenant's Insurance at a portfolio level that users can currently get for Supplier's Insurance, including:

  • Filtering
  • PDF downloads
  • Adding new policies

We will look to enable this functionality for all users early in 2023!

beta testing  🚀 Draft owner statements - in Beta

There are now two ways to preview an owner statement without completing a disbursement.

  1. Preview within disbursement: this option is good for checking individual owner statements within a disbursement.

    Start disbursement > Select owners to disburse > Expand owner > Generate draft statement 
  2. The draft owner statement report allows you to check owner statements in bulk outside of a disbursement. It can generate draft statements across multiple bank accounts and allows filtering by property manager or owner.

beta testing  Tenant's Insurance - Beta is live! 

Very excited to announce the beta launch of the new Tenant's Insurance feature!

Following on from our work developing Supplier's Insurance, we're extending the same concepts to apply to tracking Tenants' Insurance.

In the beta release, users have the ability to :

  • Create policy records, with associated expiry dates creating Dashboard reminders for assigned users
  • View audit trails of changes to policies
  • Create correspondence templates and send reminder emails to Tenants

We're currently working on enabling reporting on Tenant's Insurance policies by adding them into the Insurance Hub; and we're aiming to have this feature available to all Re-Leased users by the end of December.

improvements Show disabled invoices on the credit note allocation screen

For EMEA users only (APAC can still do cross ledger allocations).

When allocating a credit note, any invoices that contain a different ledger to the ledger(s) on the credit note will be shown in the list, but will be disabled.

✨ Side improvement: Invoice numbers now link off to the invoice so you can check the invoice details.


improvements Tax inclusive / exclusive option on outgoings templates 

Outgoings/service charge templates can now be set as GST inclusive OR exclusive. Helping to avoid those pesky rounding issues!

A new "Amounts are" drop down is available when editing or creating an outgoings/service charge template.


improvements Single Sign On for Property Manager Mobile App 🚀

Customers are now able to use their SSO provider to sign into the Property Manager Mobile App. This streamlines the log in experience and provides additional compliance & security benefits over a traditional username & password sign in.

This also addresses a major pain point for those that already use SSO for signing in to Re-Leased. Particularly when companies enforce SSO, these users were previously unable to use the Property Manager Mobile App.

As part of our work to promote tenants setting up recurring payments, we have updated the Invoice list screen, which will be the first screen in the updated payment flow.
Key changes are refreshing and aligning the UI and putting more emphasis on the arrears status with colour-coded indicators.

We're consolidating our button styles to make the primary action on the pages in Income and Expenses clearer and to simplify our overall UI.

When running the Ledgers report, users can now select multiple bank accounts. No more running the report over and over for every bank account!

Customers can now create new Outgoings/Service Charge templates when approving a Budget by Area. This save heaps of time from having to constantly navigate away and create the template from the tenancy area itself.  


New feature Tenancy Schedule Excel exports are in beta! 📣

The new tenancy schedule report can now be exported to excel. This will include all on-screen data, totals and formulas for cells such as totals. This is available to all beta customers.



New feature CREDIA 2.0 Arrears Drill 

Arrears is now aggregated on the first drill layer to provide a neat tenancy schedule rather than break out by invoice. By then selecting the tenants arrears total or a count you will navigate to a more detailed invoice schedule for that particular tenant.
