Rent Review Correspondence Enhancements

We have made some exciting improvements to how Forms and Agreements and Email Correspondence are added to Rent Reviews and also how they are previewed. By introducing these steps into the workflow of creating and performing a Rent Review, we aim to save you time having to manage these activities elsewhere.

Adding in Forms and Agreements and Email Correspondence while creating a Rent Review:

You can now add Forms and Agreement and Email Correspondence documentation while in the context of creating a new Rent Review

Previewing Forms and Agreements and Email Correspondence after performing a Rent Review:

We have updated the screen you land on after you have performed a Rent Review. To give you the ability to easily preview generated Rent Review correspondence before sending it to your tenants.

  1. Forms and Agreement Title  - Selecting this also opens the Form in the documents section of the Tenancy 
  2. Ability to Download the Forms and Agreement document in PDF
  3. Email Correspondence Title - Selecting this also opens an editable version in Settings.
  4. Edit the Email Correspondence during the Rent Review before sending it to your Tenant
  5. Preview and Download the Email Correspondence as a PDF
  6. Hit "Send email" to ship ALL the correspondence straight to your Tenant once you are happy with it!

Previewing Forms and Agreements while performing a Bulk Rent Review:

Selecting "Preview" next to either Forms and Agreements or Email will bring up a convenient document viewer that will give you an accurate Preview of the information that will be sent to your Tenant, to easily confirm what is being sent. Pictured below is an example Forms and Agreement document.

This month, we’ve launched several significant improvements in the Re-Leased platform. New feature  Introducing the new Data Diagnostic Dashboards 

All Re-Leased Insights customers will now find a new Data Diagnostic Dashboard under their Operational Summary suite of dashboards. This dashboard gives you a window into the health and completeness of your commercial property portfolio data that’s stored in Re-Leased. The easy-to-understand visualization helps you to easily identify gaps in your property, tenancy, and area information, and make quick improvements by simply drilling into the highlighted gap areas directly from the dashboard itself.

Re-Leased administrators can now grant varying levels of user access to specific Insights dashboards based on their colleagues' roles and responsibilities. This helps you protect sensitive business and financial data while ensuring individuals can access information and perform actions they need to do their jobs.

✨ RENT REVIEWS✨

improvements More flexibility to calculate rent review adjustments
Different lease agreements may have varying terms for rent adjustments - some leases may specify annual reviews, while others may require monthly adjustments. You now have the flexibility to choose between a monthly and annual rent adjustment calculation method, which can be particularly useful when your tenant's rent review date does not align with their current payment cycle. This update will also allow a wider range of customers to take full advantage of the Bulk Rent Review functionality.

improvements Allocate rent review increases on multiple line items with a click of a button
Previously during a rent review, the new rent increase amount was only applied to the first line item in the new rent template. What this process failed to do was to perform the increase calculations across all other important line items below the first row, such as car parking or common area maintenance, for instance.

With the new rent review enhancements, you can now choose which line items should receive the increase for the next rent review. By ticking ‘Allocate to all’ box you can quickly apply increases across all appropriate line items in the template.

✨ TRUST/CLIENT ACCOUNTING✨

improvements Draft Owner Statements - Generate all in one PDF 

All Trust/Client Accounting customers can now generate all draft owner statements in a single PDF. This is particularly useful for customers who like to have their property managers review the owner statements before proceeding to disbursement.

Allocating Rent Review increases on the Rent Template

We have created two areas from where you are able to allocate which line items on your Rent Template will receive the Rent Review increase

  1. Updating the Allocation from Rent & Outgoings / Service Charges: From the Rent and Outgoings/Service charge area, you are able to edit your Rent Template by choosing which line items will receive the increase for the next Rent Review
  2. Updating the Allocation during a Rent Review: From here updating the allocations will take effect for the Rent Review being performed, unless you make manual updates to the Rent Template

🚀 Exciting News! 🚀 

We've enhanced our Rent Review process with some long overdue and frequently requested feature updates. This is part of our commitment to continuous improvement in this space, we're pleased to bring you the below enhancements that we hope will make your experience smoother, and less administrative.

Rent Review adjustment calculations 

You can now choose how you would like Rent Review adjustments to be calculated!

Either select from an Annual or Monthly calculation method, which will be used should your review date fall outside of the payment cycle of your tenant.

Introducing the new maintenance task experience

Today we're excited to give you advance notice about a change coming to your Re-Leased platform next couple of weeks.

We'll be rolling out a brand new look and feel to the Re-Leased maintenance task, job and task detail pages. They are the same core areas of the system you know and love, only we’ve given them a fresh look and feel which will help you do more streamlined, productive property management and maintenance work within the platform.

So why did we decide to make changes to the design and functionality in the first place? It’s a good question, and one we thought through a lot when determining what your new maintenance experience would and should look like. To answer that question (and a few others that might be on your mind), let’s dig into what you can expect to see when working with maintenance tasks and jobs in the future.

The new task page - do work that’s more focused 

When navigating to tasks through property or tenancy pages in Re-Leased, you will now see a more modern, cleaner task page. Thanks to the new list view layout, you can see more task details easily, at a glance. Utilize the sorting and filtering functionality to rearrange larger amounts of data or hide tasks that are not relevant to you. To view and edit your tasks or recurring jobs, simply click the task title or the three-dot menu symbol at the end of the row.

The new maintenance job page 

The maintenance job page provides a comprehensive view of all the recurring tasks you have associated with a particular maintenance job as well as the ability to make changes to that job. Just as on the new task page, the new maintenance job page also lets you view, filter and sort specific tasks by certain criteria, including due date, budgeted and actual costs, contractor and progress status. Individual tasks can be edited via the three-dot symbol at the end of each task row which will take you to a task details page where you can carry on making further edits to your task.

Introducing the new task details page

The new task details page allows you to view and edit all task information conveniently in one place. Users can assign tasks with detailed instructions to another team member and attach more images and documents to already created tasks. Work orders and sending multiple quote requests can also be done directly from this area, eliminating the need to switch between other applications and screens to keep the process moving forward.

Data Diagnostics on Re-Leased Insights

We're thrilled to announce that starting on August 28th all Re-Leased Insights customers will have access to the Data Diagnostics dashboard. The dashboard will help users understand how enhancing their property, area, and tenancy data can improve the accuracy and effectiveness of Re-Leased. The dashboard's objective is to provide a high-level analysis of property portfolio information, identifying areas where data improvements can be made.

Updated Permissions On Insights

Re-Leased Insights has become more flexible. This update provides the ability for our customers to now specify which user roles would have access to specific dashboards. This means that controls to limit potentially sensitive information can be put in place.

Self-managed 2FA recovery

We are excited to introduce a significant improvement to the two-factor authentication (2FA) recovery process in Re-Leased, giving our customers more control and autonomy over their account security.

Previously, if a customer lost their 2FA device or recovery codes, they had to reach out to our customer support for assistance. However, we have now upgraded this process giving Administrators of account rights to trigger the 2FA recovery process directly from within Re-Leased for themselves as well as for other users in their account.

 

To initiate the reset process, simply follow these steps:
1. Navigate to Settings > Users.
2. Locate the user who has requested the reset.
3. Click on the "reset now" link next to the user's name.

Once triggered, the user will receive an email containing a reset link, which will be valid for the usual 30 minutes from the time of resetting.

STREAMLINE YOUR RENT COLLECTION PROCESS 


New feature announcements 

We are excited to announce a new feature that will help streamline your rent collection process and significantly improve your payment management experience. With our latest Re-Leased Pay update, you can now set up recurring rent payments for your tenants, saving you time and reducing arrears. 

Say goodbye to chasing payments and hello to hassle-free financial management these three simple steps.

1. Simplify Rent Payment Tracking
Our system allows you to identify tenants who have already set up recurring rent payments easily. By checking the Re-Leased Pay Status on the Tenant Summary page, you can determine whether tenants are enrolled in recurring payments or not. This eliminates the need for manual tracking and provides you with a clear overview of payment statuses.

 
2. Prompt Tenants to Enroll in Recurring Payments
With just a few clicks, you can send an email to your tenants, encouraging them to set up recurring payments. Using our Re-Leased Pay Invitation Template, you can effortlessly notify multiple tenants about the benefits and guide them through the process. Simply include the link provided as part of the email template, and tenants will be directed to a page where they can securely save their payment details.


3. Enjoy Automated Payment Collection
Once tenants have completed the setup, their payments will be automatically processed for all future rent invoices. Our system securely stores their payment information, ensuring a smooth and efficient payment experience. You no longer need to spend valuable time manually collecting payments or dealing with late payments.

Join a Beta testing group!

We're currently recruiting customers for a closed beta group for Effective Paid to Dates. 

The effective paid to date feature takes into account all the rent payments made by the tenant, including full and partial payments, and calculates the date until which they are considered effective or up to date, helping property managers to more accurately manage cash flow, assess tenant performance, and enforce lease terms and conditions.

Reporting now available for the Property Energy Performance Certificate (EPC) rates

With the increasing demand for energy-efficient buildings and new government-imposed green regulations, knowing your properties’ energy performance certificate (EPC) rates has become increasingly valuable to know.

Back in March, we introduce the property EPC rate field capability in the property area, and now, we have made reporting this field possible in the Re-Leased Report Builder.

To create a property EPC rate report, simply navigate to the Report Builder > Create a new Tenancy Schedule > Include property EPC rate field and other relevant information you wish to report on and generate your report.

Performance improvements with faster load times

We are also delighted to announce that Report Builder is now up to 20% faster in generating reports. This improvement will particularly benefit users with greater data processing requirements, as you can now expect faster loading times and a seamless experience while accessing your reports.

Share Insights with internal and external stakeholders

Re-Leased Pro and Enterprise customers can now share and schedule Insights dashboards and tile visualisations with their key internal and external stakeholders.

With the Insights scheduled delivery functionality, you can easily set up scheduled email deliveries within Re-Leased. Just filter your data based on your requirements and automate the delivery cadence. This allows you to effortlessly share important business information with your colleagues, executive management, and non-Re-Leased/Insights users in just a few clicks.

Improved accuracy in Insights metrics

When dealing with large monetary figures, having only one decimal point of precision can lead to significant rounding errors. Hence, all monetary-related metrics within the Operational and Strategic dashboard suites are now displayed at least two decimal points.

The two decimal point modification also applies to Fee percentages.

Email financial summary and financial details reports without timing out

Users now have the option to email the financial summary or financial details report to themselves or their owners via a background process. Now, no matter how many owners you run the report for, it will not time out in the browser as it may have previously done at the End of Financial Year.


Please note, if more than 30 owners are selected, the Generate Report on Screen and Download buttons will be disabled. To generate larger reports for more than 30 owners, you are required to opt for the Email report option.


✨ INCOME AND EXPENSES ✨

Easing editing restrictions on invoices that have appeared on 
an owner statement

Editing restrictions to invoices and credit notes that had appeared on owner statements were introduced last month but they were too restrictive. We will now allow the reference and description fields to be edited after appearing on an owner statement.

Bulk email receipts

Say goodbye to downloading receipts one by one and manually emailing them to your tenancy contacts. With our bulk email receipts functionality, you can now select multiple receipts and email them directly from Re-Leased to the respective tenancy account contacts.

Even if the receipt is not associated with a tenancy, you can still email it to the contact who made the payment.

Improvements to Maintenance! 💪

Hello everyone!

Today, we’re excited to announce some new improvements to our Maintenance functionality. We understand how important it is to have efficient maintenance operations, and we’ve been hard at work to make sure your maintenance tasks and reporting are the best they can be.

First, we’ve improved the way you manage Tasks, especially for recurring Maintenance. You can now add Notes, Quote Requests, and Work Orders directly at the Task level, making it easier to find related information and updates all in one place. The details can be added at the Task level without needing to Complete the task first. 

Secondly, we’ve also updated our Maintenance Report, adding a bunch of new columns that you can choose to add if needed. These new columns include key data points like Task Notes and related Work Orders.

We're also continuing to work away on further improvements in Maintenance, including a brand new interface for managing Tasks, so we can provide the ability to directly link Expense Invoices to Maintenance, and generating an activity log of all changes to easily see what's happening at the Task level. So keep your eyes out for further improvements coming soon!
